JOB OVERVIEW

We’re seeking a detail-oriented Administrative Virtual Assistant to streamline client operations, email management, and financial workflows. You’ll ensure smooth client onboarding, timely communication, and accurate tracking of invoices and sales pipelines. This role requires superb writing skills, a knack for organization, and the ability to manage multiple priorities in a fast-paced environment.

*Key Responsibilities*
*Client Communication & Email Management*
- Draft, edit, and send professional emails aligned with company tone.
- Manage follow-up sequences for prospects (3–5 follow-ups per lead) with escalating cadences.
- Escalate urgent client inquiries and monitor email response timelines.

*Sales Pipeline Coordination*
- Track and update client progress through pipeline stages (e.g., Trial Agreed, Meeting Attended, Proposal Sent).
- Move stalled deals to “Lost” after 3–4 unresponsive follow-ups and maintain activity reminders for re-engagement.

*Invoice & Payment Oversight*
- Generate and manage invoices using tools like Stripe.
- Update invoice statuses (Draft, Sent, Paid) and confirm payments via bank/Stripe records.
- Document special payment terms and ensure adherence to deadlines.

*Client Onboarding & Documentation*
- Add new clients to tracking systems post-payment, set up campaigns, and create client briefs.
- Maintain clear records in spreadsheets (Google Sheets/Excel) for campaigns and invoicing.

*Requirements*
? Exceptional Writing Skills: Ability to craft concise, persuasive emails with impeccable grammar.
? Hyper-Attention to Detail: Spotless accuracy in data entry, invoice tracking, and pipeline updates.
? Tech Savvy: Proficiency with spreadsheets, CRMs, invoicing tools (e.g., Stripe), and email platforms.
? Self-Starter: Proactive in managing deadlines, solving workflow bottlenecks, and escalating issues.
? Organization: Proven ability to juggle multiple clients and tasks efficiently.

*Bonus Skills:*
- Prior experience in client support, sales operations, or virtual assistance.
- Familiarity with pipeline management or finance tracking.
