JOB OVERVIEW

Job Overview
We are seeking a highly organized and proactive Virtual Assistant to support our publishing operations. This role is crucial in ensuring our authors stay on track throughout the writing and publishing process. The ideal candidate is detail-oriented, tech-savvy, and comfortable managing multiple projects simultaneously.

Key Responsibilities:

Project Management & Author Tracking
-Keep track of all active authors, their progress, and key milestones in the writing and publishing process.
-Utilize our CRM to monitor author status, log updates, and notify both the Chief Editor when follow-ups are required.
-Maintain consistent communication with authors based on their stage in the process, ensuring they meet deadlines and receive necessary guidance.
-Collaboration with Internal Teams
-Work closely with Director of Funnels to initiate book funnel projects and ensure he has all required assets and information.
-Coordinate with teaUpgrade to see actual infombers to facilitate seamless execution of book launches and marketing efforts.

Marketing Asset Development
-Create all necessary marketing materials for each author, including:
-Social media graphics (using Canva)
-Amazon A+ Content (graphics and storytelling elements)
-Reel content and additional visual assets to support book promotion
-Any other materials included in the author’s marketing package
-Press Release & Content Creation
-Utilize ChatGPT to draft a press release for each author’s book launch, ensuring it aligns with Smart Publishing’s standards.
-Submit all press releases to the Chief Editor for review before distribution.

Requirements
-Strong organizational skills with the ability to track multiple projects simultaneously.
-Experience using CRM platforms (familiarity with GHL is a plus).
-Proficiency in Canva for graphic design and marketing asset creation.
-Excellent written and verbal communication skills.
-Ability to work independently and manage time effectively.
-Basic knowledge of book marketing strategies and publishing workflows is a plus.
