Job Summary
We are seeking an Administrative Assistant with Construction Experience to join our dynamic team. This role is ideal for a highly organized, detail-oriented professional who can efficiently support administrative tasks, coordinate construction-related operations, and ensure smooth day-to-day activities.
The Administrative Assistant will serve as a key point of contact between internal teams, clients, and contractors, ensuring project requirements are met while maintaining company standards.
Key Responsibilities
-Administrative Support: Manage daily administrative operations, including scheduling, document preparation, and maintaining accurate records.
-Construction Coordination: Assist in coordinating construction-related tasks, including vendor communication, material ordering, and on-site scheduling.
-Documentation Management: Handle permits, contracts, invoices, and other construction-related paperwork, ensuring compliance with company policies and regulations.
-Communication: Act as a liaison between project managers, contractors, and clients, providing updates and addressing inquiries.
-Project Tracking: Maintain project timelines and budgets, assisting with progress reporting and updates.
Vendor Management: Coordinate with suppliers and service providers to ensure timely delivery of materials and services.
-Problem Solving: Proactively address and resolve administrative or logistical issues to keep projects on track.
-Support Team Efficiency: Collaborate with internal teams to ensure seamless integration of administrative processes into project workflows.
Qualifications
-Proven experience as an Administrative Assistant, preferably within the construction industry.
-Familiarity with construction documents, processes, and terminology.
-Strong organizational and multitasking skills with an eye for detail.
-Proficiency in Microsoft Office Suite and project management tools.
-Excellent communication and interpersonal skills.
-Ability to manage multiple tasks and deadlines in a fast-paced environment.
-Knowledge of permit applications, invoicing, and vendor coordination is a plus.
-Bachelor’s degree or equivalent experience preferred.
