JOB OVERVIEW

Coyote Promotions is looking for an Accounts Payables Coordinator

Location: Remote

Key Responsibilities:

Invoice processing: review, verify, and process invoices and expense reports for payment. Ensure all invoices are properly authorized and coded to the appropriate accounts.

Payment processing: Prepare and execute payments via checks, ACH, wire, transfers, or other methods as necessary. Reconcile payment bills and ensure payments are made in a timely manner.

Vendor management: Maintain accurate vendor records, including W-9 forms, contracts, and contact information. Address and resolve any vendor inquiries or discrepancies related to payments.

Expense reporting: Process employee expense reports, ensuring compliance with company policies and proper documentation.
Reconciliation: Perform regular reconciliations of accounts payable and other related accounts to ensure accuracy and completeness. Investigate and resolve discrepancies as needed.

Financial reporting: assist in the preparation of financial reports related to accounts payable, including aging reports and accruals.

Compliance: Ensure adherence to company policies, accounting principles, and regulatory requirements. Maintain proper documentation and support for audits.

Process improvement: identify and recommend improvements to accounts payable processes and systems to increase efficiency and accuracy.

Required qualifications:
High school diploma or equivalent required; associate’s degree in accounting, finance, or a related field preferred.
Minimum 2-3 years of experience in accounts payable or a similar role. Experience in accounting software (QuickBooks, SAP, Oracle) is a plus.
Strong attention to detail, organizational skills, and the ability to manage multiple tasks.
Proficient in Microsoft Office Suite (Excel, Word, Outlook)
Excellent verbal and written communication skills. Ability to work effectively with vendors and internal teams.
Strong analytical skill with the ability to identify and resolve issues in a timely manner.
