Position Overview:
We are seeking a highly organized and detail-oriented Account & Sales Coordinator to support
our team across multiple business functions, including sales, marketing, administration, and
operations. The ideal candidate is proficient in marketing and communication, travel planning, and
various digital tools, with the ability to efficiently manage tasks and deadlines.

Below are the current roles and responsibilities we need this hire to take on. However, these
requirements may change as the needs of the business change. The role is fluid and dynamic.
Additionally, note that this hire will report to 3 different members of our team (CEO, COO and
Account Manager) depending on the task at hand.
Key Responsibilities:
Sales Support:
? Trade show management/admin, including registration, logistics, list building
? Administer HubSpot CRM: automated sequences, assessment forms, and troubleshooting
? Execute daily sales operations, including appointment reminders, cold calling, and client
welcome communications.
? Assist with sales documentation, including client agreements

Marketing Assistance:
? Manage social media content across LinkedIn and Google My Business
? Create and distribute monthly e-newsletter including graphics and scheduling
? Maintain website content via WordPress
? Handle document approvals and award submissions
Client Relationship Management:
? Execute client onboarding, including access credentials and documentation
? Manage ongoing client communications: monthly reports, touchpoints, and meeting
coordination
? Maintain client documentation and approvals in Google Drive
? Update reporting systems and handle account cleanup across platforms
General Administration:
? Maintain a company calendar and send notifications to staff and clients
? Coordinate HR and compliance communications, including IRA notices
? Manage employee recognition and gifts
? Plan and track business travel logistics
Operations Support:
? Document and maintain company processes and procedures
? Manage projects in Asana and maintain digital file organization
? Support software implementation and provide technical troubleshooting assistance
Qualifications:
? 3+ years experience as a Virtual Assistant or Executive Assistant
? Proven expertise in HubSpot and project management tools
? Strong track record in sales support and client communications
? Advanced organizational and time management capabilities
? Experience with CRM systems, email marketing strategies and LinkedIn
? Excellent written and verbal communication skills
? Demonstrated ability to work independently and manage multiple priorities

Education:
? Bachelor's degree preferred (Business, Marketing, or related field)
? Relevant certifications in digital marketing or project management a plus
