JOB SUMMARY
Haven Vacation Rentals is seeking an Account Management Assistant to join our team. You'll play a vital role in supporting the Account Management team to ensure seamless operations and exceptional service for property owners. This role focuses on maintaining accurate owner accounts, preparing detailed financial and performance reports, and assisting with day-to-day administrative tasks. The ideal candidate is detail-oriented, proactive, and familiar with property management processes. They will work closely with other departments to address owner concerns, ensure property standards are met, and optimize property performance. This position requires strong organizational skills, excellent communication, and the ability to manage multiple priorities effectively.
Key Responsibilities
• Prepare performance reports by gathering data, updating owner files, and assisting account managers with actionable insights.
• Create and manage monthly owner statements, including tracking revenue breakdowns, expenses, and ensuring accuracy.
• Coordinate with maintenance and housekeeping teams to uphold property standards, address issues, and communicate updates to owners.
• Oversee owner account setups in management software (e.g., Hostaway, Pricelabs), ensuring all property details are up to date.
• Monitor occupancy rates and provide recommendations for optimizing booking strategies to improve property performance.
• Respond professionally and promptly to owner concerns related to guest stays, property damage, or payments.
• Assist in preparing and sending detailed property performance reports to owners on a regular basis.
• Track and manage contracts, agreements, and compliance documents to ensure all records are accurate and complete.
• Collaborate with the marketing team to verify property listings are accurate, optimized for visibility, and reflect current conditions.
• Support the Account Management team with ad-hoc tasks, ensuring the highest level of service and satisfaction for property owners.
What We’re Looking For
• Strong organizational and communication skills
• Ability to work independently, multitask, and adapt to a dynamic workload
• Proficiency with Google Suite (or Microsoft Office)
• A reliable internet connection and computer setup
• High fluency in both written and spoken English (mandatory)
No prior experience in property management or Airbnb is required. However, fluency in English is essential for clear and effective communication.
HOURS AND COMPENSATION
You will be working EST hours, 8 am to 5 pm, Monday-Friday. The starting salary for this role is $700/month, with the potential for increases based on performance.
