Job Summary:
We are seeking a proactive and highly organized Virtual Assistant with project management experience to support our fire protection projects remotely. The ideal candidate will assist with planning, coordinating, and monitoring projects to ensure timely completion, effective communication, and compliance with fire protection standards. You will work closely with internal teams, vendors, and clients, providing virtual support to keep projects running smoothly.
Key Responsibilities:
Project Coordination and Support:
Assist in planning and scheduling fire protection projects, including tracking deadlines and deliverables.
Maintain and update project documentation, such as schedules, contracts, permits, and reports.
Monitor project progress remotely and ensure milestones are achieved on time.
Communication and Liaison:
Act as the primary point of contact for clients, contractors, and tea
Schedule and facilitate virtual meetings, preparing agendas and taking minutes.
Ensure consistent and clear communication between all stakeholders.
Administrative Support:
Manage project management tools and software to track tasks and timelines (e.g., Asana, Trello, or similar).
Organize and maintain digital records and files related to fire protection projects.
Prepare and distribute reports, summaries, and presentations for stakeholders.
Budget and Resource Monitoring:
Track project budgets and expenditures, ensuring resources are allocated efficiently.
Provide financial updates and identify potential cost-saving opportunities.
Compliance and Quality Control:
Verify project plans and documentation align with local and industry fire safety standards (e.g., NFPA codes).
Coordinate with contractors and inspectors remotely to ensure compliance with regulations.
Problem-Solving and Risk Management:
Identify potential issues in project execution and propose solutions.
Maintain a risk management log to address any challenges proactively.
Qualifications:
Proven experience as a Virtual Assistant, Project Manager, or similar remote role.
Familiarity with fire protection systems or construction projects is preferred but not required.
Strong proficiency in project management tools (e.g.,
Excellent organizational, time management, and multitasking skills.
Strong verbal and written communication skills for virtual coordination.
Ability to work independently and manage multiple projects remotely.
Basic understanding of fire protection codes and standards (e.g., NFPA) is a plus.
