The Administrative Support Specialist is an individual who: Enjoys the opportunity to build, implement, and manage multiple systems with minimal supervision Pays close attention to detail Adapts to shifting needs and able to learn quickly Deeply committed to completing tasks the right way with a high degree of quality Has great focus and can do one thing for a long time without getting distracted Self-motivates themselves and can provide a reliable and consistent work performance with minimal supervision Communicates clearly and wants to help the team grow and achieve greater levels of success A team player willing to help out in other areas if need be on a case by case basis to help grow the company Duties: Report daily to Business Operations Specialist and complete daily checklist Online file review of real estate brokerage transaction files. Prepare all listing materials: pre-listing presentation, Listing Agreement, sellers’ disclosures, comparative market analysis, pull online property profile, research old multiple listing service (MLS) listings, etc. Prepare documents to be signed via ZIpForms and Docusign Respond promptly to requests by associates to check the availability of different properties (process will be taught) Gather information and complete an Absorption based Price Index analysis (API) Oversee all aspects of sellers transactions from initial contact to executed purchase agreement. Coordinate with team in timely manner Check each document to verify it has all the correct signatures and dates so the transaction process goes smoothlyCommunicate frequent updates to all parties involved in the transaction. Monitor the contingency periods to ensure contractual compliance. Ensure all required documents are complete and submitted by the necessary dates. Coordinate the property’s closing process. Schedule all after-close follow-ups. Ask for potential referrals. Maintains all communication between clients, agents, loan officers, underwriters, title officers, and escrow. Qualifications: College graduate Proficient with Excel and Google Sheets Strong written and verbal communication skills 2+ years of administrative work experience 1+ year of real estate transaction management/coordination experience (preferred, not necessary!) Knowledge of MLS and Adobe Acrobat PDF Viewer (preferred but you will be taught!) Able to work full time Time sensitive material must be completed during local time (Pacific Standard Time; UTC: +8 hours) Minute tasks may be completed at your discretion but be finished by given deadline Benefits: Holidays: The Company observes the following paid holidays: 1) New Year's Day, 2) Memorial Day; 3) Independence Day; 4) Labor Day; 5) Thanksgiving Day; 6) Day after Thanksgiving; 7) Christmas Day. When a holiday falls on a Saturday or Sunday, it normally will be observed on the preceding Friday or the following Monday, respectively. The Company’s holiday observance schedule will be announced in advance. The company will observe ½ days on the following days 1) New Years Eve; 2) Christmas Eve.
