JOB OVERVIEW

We are looking for a highly skilled and detail-oriented Executive Assistant with a background in the construction industry to support our executive team. This role requires at least 2 years of experience as an Executive Assistant, strong English communication skills, and exceptional customer service abilities. You will be responsible for managing schedules, emails, and both personal and professional tasks for the executive. Experience with QuickBooks and Buildertrend is a plus.

Key Responsibilities:
• Calendar & Schedule Management – Coordinate and manage meetings, appointments, and travel arrangements across multiple time zones.
Email & Communication Handling – Manage and prioritize high-volume email correspondence, draft responses, and ensure timely follow-ups.
• Task & Project Coordination – Track deadlines, follow up on action items, and assist in organizing construction-related projects.
• Customer Service & Communication – Act as a professional point of contact, ensuring clear and courteous communication with clients, vendors, and teaUpgrade to see actual infombers.
• Personal & Professional Support – Handle personal errands, reservations, and various administrative tasks for the executive.
• Construction Industry Coordination – Assist with permits, vendor communication, job site scheduling, and industry-related administrative tasks.
• Document & File Management – Organize contracts, reports, and confidential documents with accuracy and discretion.

Qualifications & Requirements:
• Minimum 2 years of experience as an Executive Assistant (construction industry experience preferred).
• Fluent in English (spoken and written) with excellent grammar and communication skills.
• Exceptional customer service skills – must be professional, responsive, and able to communicate effectively with executives, vendors, and clients.
• Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), Google Workspace, and scheduling tools.
• Ability to multitask, stay organized, and work independently in a fast-paced, remote environment.
• High level of professionalism, confidentiality, and attention to detail.
• Experience in construction administration or familiarity with permits, project schedules, and vendor coordination is a plus.
• Must have a reliable internet connection and be available to work during U.S. business hours.
