Overview: We are seeking a detail-oriented and organized Real Estate Listing Coordinator to manage the listing and sales process for condo sales. The ideal candidate will be responsible for creating and maintaining listing files, coordinating with various teams, and ensuring smooth transaction processes from start to finish.
Key Responsibilities:
Listing Preparation: Set up and maintain Google Drive folders containing all necessary documents such as checklists, lockbox policies, and transaction forms.
Document Management: Retrieve property details from Geowarehouse and previous MLS listings, and manage document flow in SkySlope.
Scheduling and Coordination: Schedule property inspections, staging consultations, and open houses. Manage the booking of handymen, movers, and cleaners as required.
Communication: Act as the point of contact for clients, providing them with necessary documents and coordinating meetings. Ensure clear communication with all parties involved, including staging teams and contractors.
Marketing Support: Assist in preparing property write-ups, managing social media content, and scheduling photography sessions. Ensure all marketing materials are aligned with listing details.
Event and Calendar Management: Organize and manage the listing calendar, ensuring all events such as staging, inspections, and open houses are properly scheduled and attended.
Compliance and Reporting: Keep track of compliance with lockbox policies, organize and attend open houses, and prepare reports on listing status for review by real estate agents.
Client Interaction: Facilitate communication between clients and agents, manage client queries, and ensure clients are informed about the listing process and timelines.
Qualifications:
Proven experience in real estate administration or similar role.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal skills.
Proficiency in real estate software such as SkySlope, Google Drive, and MLS/REALM systems.
Ability to multitask and manage multiple listings simultaneously.
This role is crucial for ensuring the efficient management of property listings and requires someone who is proactive, highly organized, and client-focused. The Listing Coordinator will ensure that each property is presented at its best and that all administrative tasks related to the sale are handled efficiently. Hours of work will be between 9am-6pm Eastern Standard Time (Toronto).
