About This Role:
We are hiring a Business Manager / Executive Assistant who is ready to take full ownership of the day-to-day operations of a small but growing business. This is not a passive management job. Right now, there is no staff — you will be the person running the show from Day 1, handling everything from customer service, answering calls, project management, and admin work, to eventually helping hire, manage, and grow a team as the business scales.
You will work closely with the owner, who is recovering from a recent stroke. This means you must be patient, careful in your communication, reliable, organized, and able to take direction respectfully without assuming. You’ll need to understand how to work with an entrepreneur who values privacy and careful, clear communication.
Key Responsibilities (starting immediately):
• Customer Service: Answer phones, reply to customer inquiries, handle complaints and issues.
• Sales & Admin Support: Follow up with leads, support sales, prepare documents, manage inbox.
• Operations Management: Keep the business organized, ensure nothing falls through the cracks.
• Calendar & Schedule Management: Manage the owner’s calendar and prioritize tasks.
• Problem Solving: Handle daily challenges independently but escalate when needed.
• Privacy Protection: Handle sensitive business and personal information confidentially.
As the business grows, your role will expand to include:
• Staff Hiring & Management: Recruit, train, and manage staff.
• Team Leadership: Oversee day-to-day team operations.
• Project Management: Organize projects, assign tasks, and hold the team accountable.
Required Skills & Qualifications:
• 2+ years experience as an Executive Assistant, Business Manager, or Operations Manager.
• Excellent English communication skills (spoken & written).
• Strong organizational skills — you thrive on structure and systems.
• High emotional intelligence — patient, careful, respectful.
• Comfortable working independently and doing the work yourself.
• Experience with Google Workspace, Notion, Trello, Slack, or similar tools.
• Committed to a long-term, stable role — no job hoppers.
Nice-to-Have:
• Project management or operations background.
• Experience working closely with an entrepreneur.
