We are currently seeking an organized and proactive Personal Assistant to support our lead attorney in day-to-day operations and client management.

Job Summary:
The Personal Assistant will provide comprehensive administrative support to the attorney, ensuring smooth office operations and assisting with case management. The ideal candidate will possess excellent organizational skills, a strong attention to detail, and the ability to work in a fast-paced legal environment.

Key Responsibilities:

1. Administrative Support:
- Manage the attorney’s calendar, including scheduling appointments, meetings, and court dates.
- Prepare and organize legal documents, correspondence, and other materials as needed.
- Maintain and update case files, ensuring all documentation is current and accurately filed.
- Assist in drafting legal pleadings, motions, and other court documents as directed.

2. Client Interaction:
- Serve as the first point of contact for clients, providing exceptional customer service and maintaining a professional demeanor.
- Communicate with clients regarding case updates, appointments, and necessary documentation.
- Conduct initial client intake and gather essential information for case preparation.

3. Research and Case Preparation:
- Conduct legal research on relevant case law, statutes, and regulations as directed by the attorney.
- Assist in case preparation by gathering evidence, organizing exhibits, and preparing trial notebooks.
- Monitor deadlines and ensure timely filing of documents with the court.

4. Office Management:
- Order supplies and inventory as necessary, ensuring materials are regularly stocked.
- Oversee organization and maintenance of the digital office space, including electronic filing systems and administrative tools.
- Implement and maintain efficient office procedures and protocols to enhance productivity.

5. Billing and Accounting:
- Assist with billing processes, including tracking billable hours and preparing invoices for clients.
- Maintain accurate records of expenses and payments.

6. Technology Support:
- Utilize legal software and case management tools effectively, such as MyCase, Dropbox and Filevine.
- Troubleshoot basic technology issues and coordinate with IT support as necessary.

7. Personal Tasks:
- Assist the attorney with personal tasks as needed, such as travel arrangements and personal scheduling.
- Handle confidential information with discretion and integrity.

Qualifications:

- Education: Bachelor’s degree or equivalent experience preferred.
- Experience: Previous experience as a personal or administrative assistant in a legal setting is highly desirable.
- Skills:
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and legal research tools.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Knowledge of American law and legal procedures is a plus.

Working Conditions:
This position will be remote. Flexibility in hours may be necessary to accommodate the attorney's schedule.
High speed internet is required. Employee will need to download and log large video files for each case, oftentimes multiple gigabytes per file.
