JOB OVERVIEW

We are on the hunt for an A-Player—an exceptional Onboarding Account Manager—who excels at creating a smooth, efficient onboarding experience. Your mission? To ensure a seamless transition for our outsourced professionals, conduct performance check-ins, and maintain strong client relationships. As the key point of contact for both clients and outsourced professionals, your attention to detail and proactive communication will ensure the success of every onboarding process.

Responsibilities of the Onboarding Account Manager:

Conducting 90-Day Fulfillment & Performance Check-Ins:
* Weekly Check-in Calls:
Conduct weekly check-in calls with clients for the first 12 weeks of an Outsourced Professional’s (OP) engagement to assess performance, address challenges, and provide necessary support.
Gather feedback and success stories from clients to showcase the impact of our OPs
* Hand-Off Calls: (Grow-into-area)
Conduct calls before an OP’s start date to transition them officially to the client, set clear expectations, share best practices, and establish a strong working relationship
* VA Catch-Ups: (Grow-into-area)
Address client concerns regarding an OP’s performance and provide coaching or support where needed
* Graduation Calls: (Grow-into-area)
Conduct final review meetings to reinforce key takeaways, celebrate milestones, and confirm continued success

Calendar & Meeting Coordination:
* Arrange Hand-Off Calls and 90-Day Onboarding Check-ins, ensuring all necessary parties are included
* Maintain organized scheduling of client meetings, onboarding check-ins, and performance discussions while coordinating with internal teams
* Ensure key stakeholders, such as Client Success, are included in 90-Day Onboarding Check-ins

Administrative Support:
* Hand-Off Call Preparation:
Customize onboarding materials for each client, including scripts, company summaries, client/OP details, and logistical information
* Action Item Tracking:
Summarize key takeaways and CTAs from check-in calls and ensure timely follow-ups with internal (Sales, Client Success) and external (Clients, OPs) stakeholders
* ClickUp & Slack Management:
Maintain up-to-date records in ClickUp by creating and updating OP and Client cards daily and weekly
* Monthly Reporting:
Run 90-Day Accounts Meetings and upload Zoom recordings for Hand-Off Calls, Check-ins, and Graduation Calls for documentation and future reference

Communication & Relationship Management:
* Client Communication:
Serve as the primary contact for onboarding-related updates, including scheduling, onboarding materials, policy clarifications, and warm introduction emails
* OP Communication:
Provide consistent guidance to new OPs, ensuring they are aligned with client expectations and addressing any onboarding concerns proactively
* Internal Team Coordination:
Work closely with key teaUpgrade to see actual infombers to streamline the onboarding process and address challenges
* Cross-Platform Communication:
Utilize Slack, Email, and potentially WhatsApp groups to facilitate real-time communication and relationship-building
