Role Overview
As a Coaching Virtual Assistant (CVA), you'll be a critical support system for our coaching team, ensuring smooth operations and exceptional student experiences. This role requires a tech-savvy, organized professional who thrives on helping others succeed.
Key Responsibilities
Weekly Check-ins
Review and process student check-in forms
Generate draft responses for coaches using provided templates
Submit responses for coach approval and send to students promptly
Call Confirmations & Scheduling
Confirm student coaching calls in advance
Manage call rescheduling to minimize no-shows
Send timely reminders and meeting links via
Assignment Tracking & Support
Monitor task submissions through Google Drive and internal portals
Update tracking systems with student progress
Alert coaches about missing or late assignments
Internal Team Communication
Attend weekly team huddles via Zoom
Maintain daily updates in project management tools (ClickUp, google suite,
Communicate clearly and efficiently with coaching team
Student & Parent Support
Respond to inquiries via
Escalate complex questions to coaching team as needed
Ideal Candidate Qualifications
Exceptional written communication skills
Highly organized with ability to manage multiple tasks
Comfortable working independently in a fast-paced environment
Proficient with tools like Google Drive, Slack, Zoom, and CRMs
Customer service, virtual assistance, or education experience preferred
Position Details
Monthly Rate: $800
Hours: 40 hours/week (Pacific Time availability required) 12-8PM
Start Date: ASAP
