We are seeking a highly organised and detail-oriented Administrative Assistant to join. The ideal candidate will be responsible for managing client communications, scheduling, data entry, and providing administrative support. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Key Responsibilities:
Client Communication & Scheduling:
Manage
Follow up with clients for testimonials,
Contact past clients to encourage and incentivise them to return for care.
Handle bookings and appointment rescheduling.
Administrative Support & Data Management:
Maintain and organise client files, data, and paperwork for the practice.
Archive and sort clinical photos systematically.
Enter and manage data accurately within practice management software (Cliniko).
Marketing & Client Engagement:
Respond to patient inquiries via Instagram,
Help with planning social media and give ideas for future posts/stories.
Manage and maintain direct website chat.
Personal Assistance:
Provide administrative support as needed.
Assist with managing their schedules and professional commitments.
Qualifications & Skills:
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and scheduling software.
Ability to multitask and work efficiently in a busy environment.
Strong organisational skills with attention to detail.
Ability to work independently while being a team player.
Friendly and professional demeanor with a patient-centric approach.
Must be confident but friendly over the phones, talking with patients and making them feel comfortable and important.
