General Administration & Bookkeeping Assistant – ProGlazed Windows and Doors

ProGlazed is growing across Melbourne and is known for exceptional quality and customer service, we deliver outstanding aluminium window and door solutions for residential and commercial and residential projects.

We are growing, and we need a vibrant, organised, and detail-oriented --- General Administration & Bookkeeping Assistant --- to join our fantastic team! We’re inviting you to become an essential part of our continued success!

What You’ll Do:
You'll handle various administrative and bookkeeping tasks, primarily using Zoho CRM and Xero (we can train you!). Your role will expand over time, offering plenty of variety and opportunities to learn new skills.


Recurring Support Administration Tasks (40%)

-Updating our CRM with information provided by our estimators

-Reviewing incoming emails and entering information to our CRM

-Data management and accuracy checks in Zoho CRM

-Matching suppliers to projects and accurate data entry

-Supporting our estimators where possible in their day to day roles


Bookkeeping and accounts support in Xero (30%) – Training Provided

Support our accounts manager with payroll, reconciliation and other tasks
Daily reconciliation of incoming payments.

-Sending out payment reminders and receipts.

-Processing weekly contractor invoices and preparing payment files.

-Self-Development & Business Improvement (10%)

-Research new ideas and industry improvements online.

-Implement fresh systems to boost customer service and operational efficiency.


Special Projects (10%)

-Get involved in special one-off projects like introducing processes, organising travel and accommodation for our team, other important tasks as required.


Supporting Our Project Managers (10%)

-Provide assistance to our Estimators to keep operations running smoothly.


SKILLS WE ARE LOOKING FOR:

-Ability to speak fluent English (written and spoken).

-Attention to detail - Quick and precise with emails and data entry.

-A dedicated, positive and friendly attitude

-Professional and friendly on the phone

-Tech-savvy and eager to master systems like Xero and Zoho CRM

-A proactive approach and someone who is always keen to learn.
