Administrative Assistant

Type of Position:
Part-time (15-20 hours per week)

Who They Report To:
You will report to the Operations Manager.

List of Job Responsibilities:
Research and recommend new software, tools, and tech to improve company processes
Implement company data base in Notion and maintain and update database
Assist in the implementation of new invoice systems and migrate all clients over and tech
Invoice new clients in honeybook and once new invoicing system is implemented, invoice clients through new system
Provide training and support to teaUpgrade to see actual infombers on newly implemented systems and tech
Assist in coordinating and overseeing day-to-day operations
Maintain and update SOPs and processes
Ensure timely responses to client emails, calls, and requests for information
Implement a system to transfer emails to Upgrade to see actual info and manage, address, assign emails to teaUpgrade to see actual infombers
Assist in coordinating and scheduling client meetings, appointments, and follow-ups
Maintain files and information for the company
Ensure regular maintenance and updates of software and tech tools to optimize performance
Stay up-to-date on industry trends and advancements in tech
Create a company FAQ database for team use
Assist with client onboarding and maintain client information in company database
Take notes and document action items during teaUpgrade to see actual infoetings

Requirements:
Administrative certificate or diploma or equivalent
Previous experience in an administrative role is preferred
Proficient in using Microsoft Office and Google Suite
Excellent organizational and time management skills
Strong attention to detail
Ability to multitask and prioritize tasks effectively
Strong written and verbal communication skills
Highly self motivated
Work in MST time zone between 9-3 pm, Monday to Friday at least 3-4 hours per day
