Working Hours: Monday to Friday 09:00 hrs - 14:00 hrs

About the Role:

We are a UK based freight forwarding company, specialising in the import and export of sea freight shipments. Our business engages in cold email outreach to generate leads and potential clients. We are seeking a Virtual Assistant to manage and process email replies efficiently, ensuring that positive responses are handled correctly and lead opportunities are maximised.

Your Responsibilities:

- Manage Cold Email Replies

Monitor and organise incoming email responses through a central Unibox. Identify and categorise positive replies from prospects.

- Respond & Take Action based on enquiry type

If a prospect requests more information, send a company overview PDF with a brief introduction. If a prospect expresses interest in switching freight forwarders, schedule a face to face meeting or a virtual call with our company Director. If a prospect requests a quotation for an import/export shipment, forward the details to the company Director for further action.

- Log and Track interactions for the company Director to review and follow up where necessary. This should be done using Google Sheets and shared internally.

- Maintain accurate records of interactions and schedule follow ups. Communicate professionally and ensure timely responses.

Who we are looking for:

- Fluent in English (written and spoken) with strong communication skills.
- Experience in email management, leading handling, or customer support.
- Ability to identify and categorise emails based on the required action.
- Ability to work independently and efficiently
- Prior experience in logistics, freight forwarding or a similar industry (preferred).
