JOB OVERVIEW

Yugen Agency is a creative transformation design agency that works exclusively with climate-led and purpose-driven startups. We help visionary founders build impactful brands, compelling digital experiences, and motion content that drives meaningful change.

We’re looking for a highly organised and proactive Virtual Assistant to support our team in research, lead generation, content management, and project tracking.

This is a part-time role (10 hours per week) with the potential to grow into a full-time position for the right candidate. If you’re detail-oriented, tech-savvy, and able to work independently in a fast-paced environment, we’d love to hear from you.

Key Responsibilities

- Populate our CRM with opportunities from various databases of ICP startups
- Track and compile lists of key decision-makers in target industries
- Optimise our lead generation process to improve outreach to decision-makers on LinkedIn
- Research and enter relevant awards for both design and sustainability
- Find and track climate-related events, maintaining an up-to-date event calendar
- Monitor project progress in Asana & ValueCase, ensuring smooth execution
- Onboard new clients by sending welcome emails and setting up resources including ValueCase, file structure, and contracts
- Offboard clients, gathering feedback via questionnaires and testimonials
- Schedule meetings, send updates, and ensure client satisfaction
- Set up reminders for re-engagement with leads and clients
- Content & Marketing Support

- Research and track content trends in our niche for content planning
- Find high-performing posts from key content creators in our niche using Kleo and generate new content ideas
- Manage the content calendar to ensure consistent posting across platforms
- Administrative & Operational Tasks

- Arrange travel bookings and logistics for the team when needed
- Create and update SOPs to document workflows
- Assist with proposals and document preparation for client presentations

You Should Be Able to Demonstrate

- Proven experience as a Virtual Assistant or in a similar support role
- Strong research and data management skills, experience with Google Sheets, Airtable, and Attio is a plus
- Excellent written and verbal communication skills in English
- Highly organised and detail-oriented, able to handle multiple projects simultaneously
- Proactive problem solver who takes initiative and works well independently

Essential Tools & Skills

- Asana for project management
- LinkedIn / Sales Navigator for lead generation
- Google Suite including Docs, Sheets, and Slides
