JOB OVERVIEW

We are seeking a detail-oriented and proactive Virtual Assistant to manage and follow up with leads inside Follow Up Boss for a busy real estate business. This role focuses heavily on texting and emailing leads, reviewing previous conversations, and using common sense to continue nurturing the relationship. This is not a cold calling role, but rather an ongoing lead management and client touchpoint role.

Key Responsibilities:

Review past communication history before reaching out to each lead.
Send personalized follow-up texts and emails based on previous conversations.
Set future follow-up reminders and nurture sequences inside Follow Up Boss.
Keep detailed notes in the CRM after each touchpoint.
Flag hot leads for immediate attention.
Reach out to past clients for check-ins, home anniversaries, and referral opportunities.
Keep contact tags, stages, and pipeline status accurate and organized.

Lead Types You’ll Manage:

Buyer and seller leads (YouTube, Instagram, website, relocation guides, etc.)
Past clients (check-ins & referral outreach)
Vendor & agent referrals
Long-term nurture leads (not ready yet)

Tools You’ll Use:

Follow Up Boss (required – must have experience or ability to learn quickly)
Realscout
Loom
Mailchimp

Qualifications:

Previous experience in real estate lead management or working with real estate CRMs preferred.
Strong written communication skills — you’ll be texting and emailing on my behalf.
Ability to review conversations, understand context, and personalize responses accordingly.
Familiarity with Follow Up Boss (preferred, but not required if you can learn quickly).
Reliable internet connection and ability to work during Eastern Time business hours.

Schedule & Compensation:

10-15 hours per week to start, with potential for growth.
Available during Eastern Time (9 AM - 5 PM) for 3 hours per day to complete follow-ups.
Pay: $2 per hour
