JOB OVERVIEW

ABOUT THE ROLE:
I am looking for a highly organized, detail-oriented, and proactive Executive Assistant to work directly with me and take over key responsibilities related to real estate management, business operations, and accounting. This role is ideal for someone who is a self-starter, excellent at communication, and able to handle multiple tasks independently.

KEY RESPONSIBILITIES:
---------------------Upgrade to see actual info) REAL ESTATE & PROPERTY MANAGEMENT (20 Apartment Units)
- First point of contact for all tenant communications, inquiries, and requests.
- Coordinate with on-site contractors and vendors for maintenance, repairs, and inspections.
- Manage DoorLoop, our property management software:
* Track rent payments and send follow-ups.
* Handle lease renewals and new lease agreements.
* Coordinate apartment showings and tenant move-ins/move-outs.
* Keep all accounting records updated.

2) BUSINESS OPERATIONS & ACCOUNTING (Two Companies - US & India)
- US Company: Manage QuickBooks for accounting, bookkeeping, and payroll processing.
- India Company: Use Zoho Books to handle financial records, invoices, and transactions.
- Oversee payroll processing for both companies, ensuring timely salary payments.
- Track business expenses, financial reports, and tax-related documentation.

3) GENERAL EXECUTIVE SUPPORT
- Assist in daily operations, scheduling, and administrative tasks.
- Communicate with external stakeholders, vendors, and teaUpgrade to see actual infombers across different time zones.
- Research and coordinate purchases, get quotes, and ensure smooth workflow across businesses.

WHAT I’M LOOKING FOR:

- Experience in real estate or property management is a huge plus.
- Strong accounting/bookkeeping background with knowledge of QuickBooks & Zoho Books.
- Excellent organizational and multitasking skills—must be able to juggle multiple responsibilities efficiently.
- Proactive and resourceful—someone who can identify problems and solve them independently.
- Excellent written & verbal communication skills (must be comfortable handling tenant and contractor communications).
- Tech-savvy and comfortable using property management, accounting, and project management software.
