As we expand, we’re looking for a detail-oriented Admin Operational Assistant to join our team and help streamline our operations, support our sales representatives, and ensure the smooth running of our day-to-day activities.
Job Overview:
As our Admin Operational Assistant, you’ll play a critical role in keeping our operations running efficiently. You’ll work closely with leadership and field teams to handle administrative tasks, manage sales data, and improve processes. This is a fully remote position, perfect for someone who thrives in a fast-paced environment and enjoys supporting a dynamic team.
Key Responsibilities:
Sales Administration: Process sales orders, track installations, and maintain accurate records in our CRM system.
Commission Management: Validate sales data, calculate commissions, and prepare reports for bi-weekly payouts.
Team Support: Act as the go-to person for field representatives, providing administrative assistance and resolving issues promptly.
Customer Verification: Conduct follow-up calls to confirm sales details and ensure customer satisfaction.
Documentation: Organize and maintain digital files for contracts, agreements, and other important paperwork.
Reporting: Generate daily, weekly, and monthly performance reports for management.
Calendar Management: Schedule appointments, tea
Process Improvement: Identify inefficiencies and propose solutions to streamline workflows and enhance productivity.
Qualifications:
2+ years of experience in operations, administration, or a similar role.
Strong organizational skills with exceptional attention to detail.
Proficiency in Google Workspace (Sheets, Docs, Gmail) and Microsoft Office (Excel, Word).
Excellent written and verbal communication skills in English.
Self-motivated with the ability to work independently and manage time effectively.
Experience with CRM systems (e.g., Salesforce, HubSpot) is a plus.
Basic understanding of sales processes and commission structures.
Availability during US business hours (specific time zone requirements to be discussed).
Nice to Have:
Experience in telecommunications or door-to-door sales operations.
Background in commission calculation and sales reporting.
Familiarity with project management tools (e.g., ClickUp, Notion).
Experience working with remote teams.
