We are seeking a highly organized and detail-oriented Virtual Assistant to join our recruitment company as Sourcer and Virtual Assistant. In this role, you will be responsible for managing data of both candidates and clients, mapping the market, ensuring coverage in our specific niche, and driving the CRM to ensure that the data is segmented and organized, allowing me to focus on the creative aspects of recruiting and leveraging systems, automation, and AI to their fullest potential.

You will play a crucial role in maintaining the accuracy and completeness of our database, supporting our recruitment efforts, and contributing to the success of our company. This is a remote position that requires proactive thinking, strong initiative, and the ability to build effective systems and processes.

Requirements:

Proven experience as a Virtual Assistant or in a similar administrative role.
5+ years experience supporting a Recruiter
5+ Years Sourcing, finding contact information based on given criteria
Extensive experience working in ATS’s - Crelate is a bonus
Tech-savvy and comfortable working with various software applications and online tools.
Reliable internet connection and a suitable home office setup.
Proficient in using productivity tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
Availability to work 6 hours a day in CST -Central Standard Timezone

General
Self-motivated and able to work independently with minimal supervision.
History of proactively learning new technologies and tasks.
History of identifying and implementing process improvements.
Strong analytical skills with the ability to interpret and organize large sets of data.
Excellent attention to detail and accuracy in data entry and management.

Primary Responsibilities:
Conduct market research and mapping to identify potential candidates and clients in our niche.
List building, avatar identification within our niche, Find contact information phone, emails - leveraging ATS, Linkedin adn other recruiting tools
Conduct market research and mapping to identify potential candidates and clients in our niche.
Assist in building and implementing effective data management systems and processes.
Support the recruitment team in various administrative tasks as needed.
Manage ATS (Crelate) updating profiles, input new jobs, cleaning up tagsSystem, Process Setup:
Use AI tools such as Perplexity, Gemini to create Job Ads
Create email, text templates for each new position
Set up and manage email outreach setup, track results and communicate to recruiter for follow-up
Do the initial work in create candidate submittal - upload audio recordings, resume and interview notes to AI system and create first draf
Manage Dripify a Linkedin automation tool-add candidates, stop candidates, create initial sequence
Manage Sourcewhale - a sequence and Linkedin Automation tool - create sequences, provide report and keep track of best practices
ContentStudio- upload Linkedin Post and keep track of results
