JOB OVERVIEW

OctaTech is seeking a detail-oriented, proactive Virtual Assistant to help us manage our increasing volume of demos, support calls, and client onboardings. This is a fully remote position where you’ll work closely with our clients and team to deliver an exceptional customer experience.

Responsibilities:
- Client Onboarding: Guide new users through our setup process, ensuring they have a smooth transition into our platform.
- Support Management: Handle support tickets, respond to client inquiries, and resolve technical/account-related issues promptly.
- Demo Coordination & Execution: Schedule and conduct product demos for prospective clients, showcasing OctaTech’s features and benefits.
- A2P Registration & Phone Approval: Assist in the A2P (Application-to-Person) process to get client phone numbers approved for messaging campaigns.
- CRM Administration (GoHighLevel): Maintain client records, track interactions, and manage workflows in GoHighLevel.
Communication & Follow-Up: Provide clear, concise updates to clients and internal teams, ensuring everyone is up-to-date on project statuses and action items.

Requirements:
- Experience with GoHighLevel: Must be proficient in setting up funnels, campaigns, automations, and managing contacts.
- Familiarity with A2P Process: Understanding of how to onboard clients for Application-to-Person messaging and get their phone numbers approved.
- Basic Real Estate Knowledge: Especially in acquisitions (cold calling, deal underwriting) is a plus.
- Excellent Communication Skills: Strong written and verbal communication in English is essential for demos and support calls.
- Customer-Centric Mindset: Ability to remain patient, helpful, and professional under pressure.
- Tech Savvy: Comfortable using video conferencing software (e.g., Zoom), ticketing systems, and other digital tools.
- Organizational Skills: Strong attention to detail, ability to manage multiple tasks simultaneously, and keep track of deadlines.
Problem-Solving Attitude: Ability to think on your feet, troubleshoot technical issues, and provide effective solutions.


Preferred Qualifications:
Prior experience in real estate cold calling or deal underwriting.
Knowledge of basic lead generation and sales processes.
Familiarity with other CRM or customer support platforms.
Experience in a remote or distributed team setting.
