About the Role:
We are looking for a highly organized, detail-oriented, and proactive Bilingual Impact Assistant (Spanish/English) to support legal, administrative, and client service functions. This role requires strong communication skills in both Spanish and English, experience with legal documentation, and the ability to manage various administrative and client intake tasks. Core Responsibilities:
Client & Communication Support:
First Point of Contact: Professionally answer and route incoming calls, ensuring an excellent client experience.
Bilingual Client Intake & Inquiry Management: Handle client inquiries via phone, email, and online forms in both Spanish and English, ensuring a welcoming and efficient intake process.
Assess Potential Cases: Conduct intake interviews, gather relevant client information, and determine eligibility based on EOL’s criteria for personal injury and workers’ compensation cases.
Foster Team Communication & Documentation: Maintain and update Standard Operating Procedures (SOPs) in Notion, ensuring the team has access to up-to-date process information.

Legal & Administrative Support:
Records Management: Request and retrieve medical records and bills from healthcare providers, hospitals, and insurance companies. Track and follow up on pending requests.
Ensure Accurate Documentation: Maintain detailed client records and interactions in Salesforce or case management software.
Document Review: Ensure medical records are accurate, complete, and compliant with HIPAA and other relevant regulations.
Collaboration: Work closely with attorneys and paralegals to ensure they have the necessary documentation for case preparation.

General Administrative Tasks: Assist with document preparation, data entry, scheduling, and other administrative duties to support efficient office operations.

Core Qualifications:
Fluent in both Spanish and English (spoken and written).
Proven experience as a virtual assistant, legal assistant, client intake specialist, or administrative support professional.
Strong knowledge of legal documentation, client intake, and records management.
Excellent written and verbal communication skills in both languages.
High attention to detail and accuracy in documentation and data entry.
Proficiency in Google Workspace (Docs, Sheets, Drive, Calendar) and case management tools.
Experience using Salesforce, Notion, RingCentral, or similar CRM & communication platforms.
Ability to handle sensitive information with confidentiality and professionalism.
Strong ability to multitask, prioritize tasks, and meet deadlines in a remote setting.

Nice to Have:
Experience working with attorneys, paralegals, or legal professionals.
Knowledge of personal injury or workers' compensation case processes.
Familiarity with HIPAA compliance and legal confidentiality protocols.
Prior experience in impact-driven organizations or client service roles.
Experience with project management tools (Asana, Trello, ClickUp).
