Export Coordinator/Admin Assistant

Gelatissimo, Australia's largest gelato chain, is looking for a full-time Export Coordinator/Admin Assistant for our International Division. We’re a fun team based in Sydney and you’ll immediately feel part of our family.

Key responsibilities include:
• Liaise between franchisees, warehouse and international teams, coordinating the international order process – from order placed to arrival of container at destination
• Prepare and review export documentation, including invoices, packing lists, certificates of origin, and bills of lading
• Coordinate with freight forwarders, shipping lines, and customs brokers to arrange transportation and clearance of shipments
• Obtain multiple shipping quotes, routes and timeframes to provide the most competitive offer
• Track shipments and provide timely updates to internal teams and franchisees.
• Follow-up immediately with parties to address shipping or documentation issues.
• Maintain accurate records of all transactions and relevant documentation
• Monitor stock levels and shipping timeframes to auto-suggest orders if required
• Provide general administration support on an ongoing basis

Essential requirements:
• Strong and confident communicator with fluent verbal and written English
• Strong organisation, multi-tasking ability and attention to detail
• Proficiency in Microsoft Excel and Teams.
• High-speed and stable internet connection (100Mbps+)
• Tech savvy

Ideal requirements:
• 3+ years of experience in export co-ordination, logistics, or international trade
• 2+ years experience as a virtual assistant
• Knowledge of export documentation, customs clearance and international shipping regulations – especially regarding frozen goods
