Job Overview
We are looking for a highly organized, detail-oriented Virtual Executive Assistant with accounting firm experience to support our growing business. The ideal candidate should be comfortable handling administrative, financial, and client management tasks while proactively improving business operations.
Key Responsibilities
Administrative Support:
Manage
Schedule and coordinate meetings, ensuring timely reminders
Organize digital files, documents, and standard operating procedures (SOPs)
Client & Financial Support:
Assist with client onboarding, including gathering necessary documents
Follow up with clients for missing financial information
Light bookkeeping support (invoicing, tracking payments) if needed
Maintain financial records and reports as requested
Business Operations & Process Improvement:
Manage task lists and ensure projects are on track
Research industry trends and assist in preparing reports
Identify opportunities to streamline processes and enhance efficiency
Required Qualifications
Experience working in an accounting firm or bookkeeping environment (preferred)
Strong understanding of basic accounting principles and financial terminology
Proficiency in tools such as QuickBooks Online, Dext, Hubdoc, or similar software (a plus but not required)
Excellent written and verbal communication skills in English
Highly organized with strong attention to detail
Tech-savvy and comfortable using productivity tools like Google Workspace (Docs, Sheets, Gmail, Calendar) and project management tools (Asana)
Ability to work independently, prioritize tasks, and meet deadlines
Preferred Qualifications
Experience in client communication and customer service
Familiarity with handling financial documents, invoicing, or bookkeeping tasks
Previous experience supporting a CEO or business owner remotely
Knowledge of CRM tools like Pipedrive, Calendly
Work Schedule & Compensation
Part-time role (approximately 20 hours per week)
Flexible working hours, but availability for occasional meetings in US business hours is preferred
Competitive pay based on experience and skill level
