Job Summary:
We are seeking a detail-oriented and highly organized Accounting Executive Assistant to join our team. The ideal candidate will have experience working in an accounting firm and will provide administrative and client support to the CFO. This role involves answering phone calls, assisting with client inquiries, utilizing accounting software for onboarding new clients, managing proposals, and following up on outstanding proposals. The Accounting Executive Assistant will play a critical role in ensuring smooth operations and client satisfaction.
Key Responsibilities:
Answer and direct phone calls, addressing client inquiries professionally and efficiently.
Assist with client concerns, providing timely and accurate information.
Utilize accounting software to support onboarding new clients, ensuring all required documentation is completed.
Prepare and send out client proposals, ensuring accuracy and compliance with company policies.
Follow up on proposals and outstanding documentation, maintaining organized records.
Provide administrative support to the CFO, including scheduling, document preparation, and
Maintain confidential client records and financial documents in compliance with company policies.
Assist in preparing reports, presentations, and financial summaries as needed.
Coordinate with internal departments to ensure seamless client service and workflow.
Perform other related duties as assigned by the CFO.
Qualifications & Skills:
Experience: Minimum of [X] years working in an accounting firm or related financial environment.
Education: Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or a related field preferred.
Technical Skills: Proficiency in accounting software (e.g., QuickBooks, Xero, Sage) and Microsoft Office Suite (Excel, Word, Outlook).
Communication Skills: Strong verbal and written communication skills with the ability to interact professionally with clients and tea
Organizational Skills: Exceptional ability to multitask, prioritize, and maintain attention to detail.
Problem-Solving: Ability to assess client concerns and provide appropriate solutions.
Confidentiality: High level of discretion and professionalism in handling financial and client information.

Preferred Qualifications:
Experience handling client proposals and contract follow-ups.
Knowledge of financial statements and accounting principles.
