Personal Injury Administrative Filer Job Description

Key Responsibilities:
Case Handling & Case Management:
- Manage PI litigation case files and track case progress.
- Ensure all legal filings are completed on time and in compliance with court requirements.
- Maintain and update case records in our Litify case management system.
- Accurately enter case details, deadlines, and filings into the system.
Electronic Filing & Document Preparation:
- File legal documents with courts and insurance companies via e-filing platforms.
- Draft and send Letters of Representation (LOR), demand letters, and tort notices.
- Prepare PIP application benefits and correspondence to insurance companies and treating providers.
- Assist in drafting legal pleadings, discovery responses, and settlement documents.
- Proofread all filings to ensure accuracy and compliance with court and procedural requirements.
Administrative Support for PI Litigation:
- Work closely with attorneys and paralegals to track and meet filing deadlines.
- Ensure that PI litigation components in Litify are accurate and up to date.
- Coordinate with external parties, including insurance adjusters, medical providers, and opposing counsel.
Key Qualifications & Skills:
Experience & Knowledge
- Minimum 6 months of law firm experience required (Must-Have).
- Case Handling Experience (Preferred) – Hands-on experience managing personal injury cases is a plus.
- Legal Background (Preferred) – Experience in personal injury or workers’ compensation law is preferred.
- Familiarity with Legal Filings – Proficiency in case management software (Litify preferred) and e-filing systems.
- Understanding of PI Case Stages – Strong knowledge of demand letters, complaints, discovery, and settlements(Preferred).
Technical Skills
- E-Filing Proficiency – Ability to file documents with court systems and insurance providers.
- Data Entry & Document Management – Skilled in scanning, uploading, and categorizing legal documents.
- Microsoft Office & PDF Editing – Proficiency in Word, Excel, Adobe Acrobat, and legal formatting.
Organization & Attention to Detail
- Deadline-Oriented – Ability to track and meet strict filing deadlines.
- Highly Organized – Capable of managing a high volume of case files.
- Strong Proofreading Skills – Ensures error-free, properly formatted filings.
Communication & Teamwork
- Strong Written Communication – Must be able to draft clear, professional legal correspondence.
- Ability to Work Under Pressure – Comfortable handling urgent filings and last-minute case updates.
- Team Player – Works collaboratively with attorneys, paralegals, and administrative staff.
