Overview
B&B Ventures is seeking a highly organized and detail-oriented Operations & Reporting Assistant to support the Director of Field Operations (DOFO), Madison. This role will focus on data reporting, tracking, and process improvement for field operations. The assistant will be responsible for maintaining key operational reports, analyzing performance metrics, coordinating cross-functional meetings, and assisting with standard operating procedures (SOPs).
Key Responsibilities
Reporting & Data Management
Update and maintain the Standardized Housekeeping/Dishwasher (HK/DW) spreadsheet with accurate data.

Run weekly Advanced Analytics reports on recent guest reviews and distribute to the Director of Field Operations (DOO) and General Managers (GMs).
Create and assign Breezeway (BW) tasks based on guest reviews and feedback.
Compile and analyze CSAT survey results on a quarterly basis.
Process Improvement & Cross-Functional Coordination
Analyze Operations KPIs to identify inefficiencies or gaps and determine areas for improvement.
Create and maintain HubSpot ticket pipelines for Owner Relations, Owner Escalations, and Offboarding.
Run and review HubSpot reports on owner responses/responsiveness and provide insights.
Send out agendas for the FOGSOB (Field Ops & Guest Services Operations Briefing) meetings based on the planning schedule.
Conduct separate meetings with department heads to address and resolve cross-functional issues.
Develop SOPs for all new processes to ensure consistency and efficiency in execution.
Project reservation volume by market to assist in determining staffing needs.
Create SOPs and training materials for all processes and systems related to field operations.
Assist with new hire onboarding tasks (adding to distribution lists, HubSpot, and Property Care systems).
Develop content for the Owner Newsletter with relevant operational updates.
Spot check inspections, provide structured feedback, and identify areas for improvement.
Refine and optimize inspection & cleaning task templates to improve operational efficiency.
Required Skills & Experience
Strong organizational and analytical skills, with the ability to manage multiple tasks and deadlines.
Experience in data analysis, reporting, and process optimization in an operations environment.
Proficiency in Excel/Google Sheets, HubSpot, Guesty, and
Familiarity with vacation rental field operations, housekeeping, and owner relations is a plus.
Excellent communication skills to coordinate across departments and facilitate process improvements.
Ability to work independently, proactively solve problems, and support the DOFO in daily operations.
Position Details
Remote role with flexibility but requires availability during core business hours.
Reports directly to Madison, Director of Field Operations.
Compensation $250-$500 USD / month for 90 days; adjust based on results to $4/hr + healthcare.
