We are a family-owned property business seeking a dependable and meticulous Property Management Coordinator to support our operations remotely. This role involves managing key administrative tasks, overseeing tenant records, coordinating maintenance, handling utility bills, and promoting our properties. We are looking for a proactive individual with strong technological proficiency, including the use of AI tools, who is keen to contribute to the success of our family-run enterprise.
Key Responsibilities:
Lease Summaries: Analyse online leases and employ AI tools to produce concise summaries of essential details, such as rent amounts, lease terms, and renewal dates.
Tenant Organisation: Create and maintain an Excel or Google Sheets database of tenant information (e.g., names, property addresses, payment statuses) to ensure accurate and up-to-date records.
Rent Collection: Monitor rental payments, issue timely reminders to tenants, pursue overdue payments, and update our payment tracking system accordingly.
Maintenance Coordination: Arrange property maintenance by obtaining quotes from contractors, scheduling repairs, and ensuring timely completion of works.
Utility Bill Management: Track utility providers (e.g., electricity, water) and compare bills across properties to verify accuracy and identify cost-saving opportunities.
Property Advertising: Develop and publish advertisements for available offices and units on platforms such as LinkedIn, Gumtree, and other relevant UK property sites, using tools like Canva to enhance visual appeal.
Requirements:
1-2 years of experience in property management, real estate, or administrative roles.
Proficiency in Excel and Google Sheets for data management.
Familiarity with AI tools (or the ability to adapt quickly).
Experience in tenant liaison, rent collection, or maintenance coordination.
Competence in creating advertisements for platforms like LinkedIn or Gumtree.
Excellent written and verbal English communication skills.
A reliable internet connection and a suitable home working environment.
A detail-oriented, self-motivated approach to work.
