Notion Systems Architect & Workflow Automation Specialist (Remote, Flexible Hours)

We are seeking a highly skilled Notion expert who is also proficient in workflow automation, system integrations, and website building within Notion. This role is ideal for someone who is not only technically adept with Notion but also resourceful and strategic in creating cost-effective, scalable solutions without over-reliance on third-party integrations like Zapier or Super.
You will be responsible for building an all-in-one Notion-based Life CRM, Business Dashboard, Project Management System, Marketing Planner, and Website, ensuring seamless workflows, advanced automation, and aesthetic usability. Together we will build out a practice management system on notion with automated tasks for reaching out to clients via email and text, reminding practitioners of action items and automating client acquisition and appointment intake. We’ll also create a digital store in Notion and work on a project that automates alternative medical diagnosis.
This role will start as a full time position until the project is done. You will have the opportunity to stay a contractor, transition to a part time role, or discontinue the position. This project should take about 1 month to complete. Depending on expertise, there is opportunity to take on another role in this growing company including the potential to grow into an ongoing systems development and optimization position.
???? Responsibilities:
? Notion-Based Website & Public Portal Development: Build a fully functional, aesthetic website through Notion, optimizing for both usability and branding. Integrate the website into custom domains and web-friendly layouts (potentially avoiding tools like Super or paying for unnecessary third-party integrations). Design a customer-facing client portal for appointment booking, resource access, and engagement.
? Life CRM & Business Management System: Design a Notion-based Life CRM to track personal and business workflows, including goals, habits, finances, wellness, and productivity tracking. Develop a marketing planner & content calendar that integrates with social media posting and analytics tracking. Create a custom-built, structured system for tracking sales, client interactions, and pipeline management. Integrate a dynamic hiring pipeline, including applicant tracking and team collaboration within Notion.
? Workflow Automation & Integrations: Optimize Notion workflows using advanced formulas, relations, rollups, and databases for maximum efficiency. Implement automations that reduce reliance on tools like Zapier, finding alternative cost-effective solutions to create seamless connections between Notion, email, scheduling tools, and CRMs. Develop auto-populating templates for repetitive tasks, document generation, and appointment tracking.
? Project & Knowledge Management: Organize SOPs, resources, and knowledge bases within Notion for easy access and searchability. Build out extensive project and task management systems that allow clear delegation and tracking.
? Data Visualization & Reporting: Create custom Notion graphs, KPI dashboards, and analytics tracking systems to provide insightful data for decision-making. Build database-driven views that offer a holistic picture of business growth, habits, wellness tracking, and project timelines.
