Job Overview:
The CRM Specialist is responsible for setting up, maintaining, and optimizing the CRM system to ensure seamless client onboarding, campaign execution, and lead tracking. This role involves configuring automations, managing integrations, troubleshooting issues, and ensuring accurate data flow across platforms. The CRM Specialist will work closely with the Ads, Production, and Client Success teams to ensure all client data and communications are streamlined and effective.
Key Responsibilities:
1. CRM Setup & Onboarding
Add new clients to Go High Level (GHL) and import the necessary snapshot templates.
Ensure all business profile information is accurately updated in the CRM.
Verify and add the client's credit card details for CRM billing.
Update or create contact forms with Terms & Conditions (TOC) and Privacy Policy (PP) compliance checkboxes.
Set up automations for new client contact forms to ensure proper lead tracking.
Submit A2P registration and ensure compliance with SMS marketing regulations.
Assign a Twilio phone number and complete setup (part 1 & part 2).
Configure

2. Ongoing CRM Maintenance & Troubleshooting
Continuously monitor CRM functionality and resolve any system or tracking issues.
Maintain opt-out workflows and compliance with unsubscribe settings.
Ensure smooth lead flow and fix tracking issues when necessary.
Verify that integrations
Manage custom notifications and automations to enhance workflow efficiency.
Regularly update CRM settings to align with evolving business processes.
Support the Client Success team with CRM-related inquiries or adjustments.
3. Campaign Execution & Lead Tracking
Ensure all ads-generated leads are properly mapped and tracked in the CRM.
Fix any issues with lead form mapping (including duplicating forms for tracking if necessary).
Configure and test automated
Maintain a clear and structured pipeline for all incoming leads.
Conduct quality checks to confirm that all appointments, follow-ups, and contacts are accurately recorded.
4. Performance Optimization & Reporting
Work closely with the Ads team to ensure lead flow aligns with campaign goals.
Provide weekly updates on lead tracking performance to internal teams.
Adjust CRM automations and integrations based on feedback and performance reviews.
Troubleshoot data inconsistencies and ensure clean, accurate CRM records.
Key Performance Indicators (KPIs):
CRM Setup Accuracy: Ensure all client CRM setups are completed within 48 hours of onboarding.
Lead Tracking Accuracy: Maintain a 98%+ accuracy rate in tracking lead sources and conversions.
Automation Efficiency: Ensure 100% automation setup for lead nurturing and notifications.
Issue Resolution Time: Resolve CRM-related issues within 24 hours of being reported.
Required Skills & Qualifications:
Experience with Go High Level (GHL) or similar CRM platforms (HubSpot, Salesforce, Zoho, etc.).
Strong knowledge of CRM integrations
Familiarity with automation workflows, lead tracking, and marketing funnels.
Basic understanding of digital marketing and lead generation processes.
Ability to troubleshoot technical issues and ensure smooth data flow.
Strong attention to detail and organizational skills.
Ability to work independently while collaborating with multiple teams.
Experience with A2P registration, Twilio, and SMS compliance is a plus.
Preferred Qualifications:
2+ years of CRM management experience in a digital marketing or agency setting.
Familiarity with Zapier, API integrations, and workflow automation tools.
Knowledge of Google Tag Manager, GA4, and
Prior experience in a client success or operations role.
