We are looking for a detail-oriented and proactive Virtual Assistant to support the backend operations of a growing swimming pool maintenance and repair business. The ideal candidate will assist with bookkeeping, invoicing, customer communications, and administrative tasks, ensuring smooth daily operations. Additionally, the VA will help manage financial records for a small real estate business and personal finances.
Key Responsibilities:
- Bookkeeping & Financial Management
- Categorize, sync, and reconcile business and credit card transactions in QuickBooks Online.
- Sync invoicing, service, and repair data from Skimmer into QuickBooks.
- Assist in setting up and managing QuickBooks Online for a small real estate business and the owner’s personal finances.
2. Service & Repair Coordination
- Create and manage work orders in Skimmer (Pool Service Management Software) for maintenance and repair services.
- Research pool equipment parts and pricing on
- Assist in preparing and sending customer repair quotes for approval.
3. Customer Service & Communication
- Monitor and respond to customer
- Process customer requests for service or repairs by creating and updating work orders in Skimmer.
Ideal Candidate:
- Experience with QuickBooks Online (bookkeeping, reconciliation, and financial reporting).
- Familiarity with Skimmer (
- Familiarity with the home services industry.
- Strong administrative and organizational skills.
- Excellent written communication and customer service skills.
- Detail-oriented and proactive in problem-solving.
- Tech-savvy and comfortable learning new software tools.
