We are a leading home care agency based in Sarasota, Florida, dedicated to providing high-quality care to seniors in need of assistance with daily living activities. As we continue to grow, we are looking for a highly organized and detail-oriented Virtual Scheduler to join our team. This is a remote position for candidates with experience in home care scheduling, particularly in Comfort Keepers or a similar agency.
Job Responsibilities:
• Scheduling & Coordination: Ensure all caregivers are scheduled appropriately and arrive on time for their shifts.
• Monitoring & Accountability: Confirm that caregivers clock in/out accurately and complete tasks as per the client’s Plan of Care (POC).
• Communication: Act as the primary contact for caregivers regarding scheduling changes, call-offs, and real-time issues.
• Problem-Solving: Quickly resolve last-minute schedule gaps, caregiver cancellations, and shift conflicts while minimizing overtime.
• Client Support: Communicate with client service managers regarding any issues or concerns related to caregiver performance.
• Documentation: Maintain accurate records of requests for time off (RTOs), caregiver call-offs, client complaints, and resolution actions.
• Reporting: Provide daily end-of-shift reports, escalate urgent concerns to the appropriate team, and ensure shift coverage two weeks in advance, with ongoing scheduling up to one month out.
• Collaboration: Coordinate with the after-hours team to ensure smooth transitions and minimal disruptions in care services.
• Caregiver Recognition: Track and highlight caregivers who consistently perform well, ensuring they are acknowledged and rewarded.
Qualifications & Skills Required:
• Prior Experience: Minimum of 1-2 years of scheduling experience in home care, healthcare, or a related field.
• Familiarity with Home Care Scheduling Software (e.g., ClearCare, AlayaCare, WellSky, or similar platforms) is highly preferred.
• Excellent Communication Skills: Strong ability to communicate effectively with caregivers, clients, and internal teams.
• Problem-Solving Ability: Able to think quickly and make scheduling adjustments while maintaining quality service.
• Attention to Detail: Ability to track multiple schedules, caregiver preferences, and client needs with precision.
• Strong Work Ethic & Accountability: Must be reliable, proactive, and able to work independently in a remote setting.
• Tech-Savvy: Comfortable using

Work Schedule & Benefits:
• Work Hours: Monday – Friday, 9:00 AM – 5:00 PM (EST) with occasional weekend/on-call coverage as needed.
