POSITION SUMMARY:

The Billing Coordinator is responsible for collecting, posting and managing account payments (Insurance/Patient). This position requires an individual who is organized, works well under pressure, and who can achieve and maintain a 98% or better monthly collection ratio. Knowledge of basic optometry terminology and billing is required. High standards in customer service are expected. Cross training is a mandatory requirement of the position.

This position will back up the Billing Coordinator and Patient Services Director as needed. This position will be responsible for accounts receivable reports and metrics gathering. Calls to insurance companies for benefits verifications and claim reprocessing will also be required. Patient demographic and insurance information to be updated regularly in the EHR.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.
2. Protects all patient data accessed outside of the practice
3. Post patient invoices/fee slips in EHR
4. Process all comprehensive exam, medical/health checks, and materials claims after services performed at the practice and/or received by the patient
6. Process/push through billing to appropriate insurance companies for payment
- Check diagnosis codes match procedures performed
- Optimize bill codes to maximize practice reimbursements
- Rebill rejected claims with updated information as needed
7. Reconcile insurance reimbursements
- Verify appropriate reimbursement amounts were received
- Post Explanation of Payments (EOPs) through the EHR Mass Insurance Checks reporting page
- Rebill updated claims as necessary to correct reimbursements
8. Process/push through to any secondary carriers as needed
- Calculate and post fees and payments, including co-pays, review credit card statements.
- Answers questions from patients, clerical staff and insurance companies.
- Identifies, reconciles and resolves patient billing questions and complaints.
- Prepares, reviews and sends patient statements, monitor day sheets.
- Follows and reports status of delinquent accounts.
- Review account aging, including contacting patients by phone.
- Processes payments from patients and insurance companies
- Schedule, review and change patient appointments/time requirements.
- Ensure patient information is updated and correctly entered into the system.
- Performs administrative tasks as required.
- Other duties as assigned.

EDUCATION:
1. High School Diploma or GED - Or Local Equivalency
2. Certified Medical Biller/Coder certificate preferred but not required, may be substituted for experience.

SKILLS/EXPERIENCE:
1. Knowledge of medical billing/coding, collection practices & third-party procedures.
2. Knowledge of Vision Service Plan, Medicare, other third party.
3. Knowledge & ability to operate computer programs (Office Mate/MS Office) & equipment.
4. Knowledge of business office procedures.
5. Ability to operate a multi-line telephone system.
6. Skill in answering a telephone in a pleasant and helpful manner.
7. Ability to read, understand and follow oral and written instructions.
8. Ability to establish and maintain effective working relationships with patients,
co-workers and the public.
9. Must be well organized and detail-oriented, with ability to perform tasks in a timely manner.

ENVIRONMENTAL/WORKING CONDITIONS:
Occasional overtime and/or hours may be shortened as business needs dictate. This position is determined as either part-time, or full-time; temporary or permanent based on the needs at the time of hiring, which will be determined at the time of the hiring phase.

PHYSICAL DEMANDS:
Requires sitting and standing associated with a normal office environment. Manual dexterity needed for using a calculator and computer keyboard.
