About the Role: We are seeking a highly organized, proactive, and versatile Executive Assistant to support the dynamic operations of both a property management business and a leading sales training organization. This long-term position requires a skilled professional who excels in client communication, project management, and administrative tasks while demonstrating creativity and adaptability.

Responsibilities:

Manage and coordinate schedules, appointments, and meetings across multiple businesses.
Communicate effectively and professionally with clients, contractors, and business partners—ranging from corporate executives to individual property tenants.
Oversee and manage projects, ensuring deadlines are met and tasks are completed efficiently.
Create visually appealing presentations, proposals, and marketing materials using Canva and MS PowerPoint.
Draft, edit, and format documents, including proposals and reports, in MS Word.
Serve as a liaison between contractors and clients, providing regular updates and ensuring smooth project execution.
Handle confidential information with discretion and maintain a high level of professionalism.
Anticipate the needs of the executive and proactively address them.
Perform general administrative duties, including email management, data entry, and travel arrangements.
Assist in coordinating social media activities, reviewing content, and supporting marketing efforts across platforms like LinkedIn, TikTok, and YouTube.
Manage rental communications on social media platforms like Facebook, responding to inquiries and coordinating viewings with a local team.
Manage logistics for events, workshops, and conferences, including vendor relations, scheduling, and on-site coordination.
Support sales efforts by preparing materials and managing client follow-ups.
Provide administrative support for property management operations, including tenant advertising, communication, and contractor coordination.
Conduct research for special projects, including market opportunities, real estate investments, or business expansion initiatives.
Assist with basic bookkeeping tasks such as expense categorization.

Requirements
Proven experience as an Executive Assistant, Administrative Assistant, or similar role.
Strong project management skills with the ability to coordinate between multiple stakeholders.
Proficiency in MS Office Suite (Word, PowerPoint, Excel) and graphic design tools like Canva.
Excellent written and verbal communication skills.
Ability to manage time effectively and prioritize tasks.
Experience in property management or sales support is a plus.
Basic bookkeeping experience is a plus.
Preferred Qualifications
