Executive Virtual Assistant – Career & Client Operations

Hi Jobseekers, my name is Sean. I am hiring a Virtual Assistant to support both my personal career development and my business, Jubilee Weddings.
Jubilee Weddings is a boutique wedding photography and videography business dedicated to capturing timeless and authentic
With growing responsibilities in both my job search and business, I need a dedicated assistant to streamline job applications, manage scheduling, and handle client inquiries. Initially, the role will focus on assisting with my job applications, but as I secure a role, your responsibilities will shift more towards managing business operations and client engagement for Jubilee Weddings.
I am looking for a Virtual Assistant to support me in three key areas:
*Job Application Management – Assisting me in job applications by implementing outreach strategies, tailoring resumes, applying for jobs on my behalf, and tracking job application KPIs in a performance tracker. (This should be easy as it's what you're already doing!)
*Date & Task Management – Keeping track of important dates, deadlines, follow-ups, and ensuring I stay on top of my job search and business commitments.
*Lead Response & Appointment Booking – Responding to potential clients, following up, and scheduling appointments for Jubilee Weddings our wedding photo & video business. You will assist in managing inquiries and booking consultations with potential clients, ensuring seamless communication and effective client engagement.
This is a part-time role (20 hours per week) to start, with the potential to transition into a full-time position if workload and budget allow in the future. Over time, as my personal job application workload decreases, your responsibilities will gradually shift towards more business operations, client management, and strategic tasks for Jubilee Weddings. You'll be responding to leads and calling to ensure leads and inquiries are not wasted. IMPORTANT: Training & Learning Expectation
--You do not need prior experience in these tasks to succeed in this role. Every process will be taught to you through detailed video training by me.
--You are not expected to be perfect from day one. Mistakes are fine and are part of the learning process, but the key is to learn from them, apply feedback, and improve.
--The only way to fail in this role is by not learning and not communicating. If you consistently make the same mistakes despite clear guidance, feedback, and support, only then will it be a concern.
--Good English speaking and writing skills are a must, as you will be communicating with native English speakers, including myself and clients.
--What matters most is your ability to learn, follow feedback, and stay proactive. If you are willing to learn, ask for help, and improve, you will succeed in this role.
RESPONSIBILITIES:
*Implement my job outreach strategies, including cold outreach via LinkedIn and direct
*Assist in resume writing, cover letter customization, and optimizing job applications.
*Track and manage job application deadlines using an Excel-based KPI job tracking system.
*Conduct follow-ups on pending job applications and recruiter communications.
*Respond to inbound inquiries from Jubilee Weddings, follow up with potential leads, and book consultation calls.
*Maintain an organized system for lead management and client engagement.
*Book appointments with prospects and ensure efficient calendar organization.
*Provide regular updates on progress, outstanding tasks, and maintain clear documentation of your work
*Send a daily video report using Loom (training provided).
