We are a well-established and respected law firm specializing in Probate & Trust Administration, Elder Law & Medicaid Planning, Estate Planning, and Asset Protection & Business Planning. We are committed to providing top-quality legal services to our clients and maintaining the integrity of their trust funds. We seek a Funding & Financial Services Coordinator to join our team and oversee financial services and trust fund management.
As a Funding & Financial Services Coordinator, you will efficiently manage trust funds and provide financial services to clients and the firm.
Key Responsibilities:
• Oversee all funding of trusts (filling out financial forms, preparing paperwork & DocuSign, coordinating with banks & financial institutions, client follow-ups, etc.).
• Handle incoming phone calls, qualifying prospects/clients, and initiating outbound calls when required.
• Scheduling of appointments (sending Zoom links), confirming meetings, and following up with Initial Consult meetings. Check in all Zoo
• Leads Zoo
• Requesting information before an Initial Consult (we have questionnaires for EP, probate, and Medicaid)
• Creates Asset Summary spreadsheets after the client submits asset information.
• Maintain accurate and up-to-date records.
• Collaborate with attorneys, clients, and financial institutions to facilitate financial transactions and services related to legal matters.
• Assist clients with account setup, financial arrangements, payment plans, and billing inquiries.
• Maintain high professionalism and confidentiality when dealing with sensitive financial information.
• Serve as the primary point of contact for clients' estate planning, financial services, and billing inquiries.
• Address client questions and concerns, ensuring high client satisfaction.
• Prepares change of beneficiary forms.
• Ensure strict compliance with legal and financial regulations about trust funds and financial services.
· Enter client data into our financial software (Riskalyze and Income Lab) and create reports for financial review meetings
· Draft legal documents using Gavel.
· SOP creation and maintenance to ensure that processes are put in place and implemented.
· Perform general administrative tasks and other administrative duties as required.
Requirements:
• Previous experience in trust fund management, financial coordination, or related financial services or industry.
• Prior experience in executive support or administrative roles in a Law Firm is a huge PLUS but not a requirement.
• High ethical standards and commitment to conducting business with integrity.
• Excellent financial analysis and record-keeping skills.
• Tech-savvy with a high degree of proficiency in CRM systems, MS Office (PowerPoint, Word, Excel, etc.), Google Suite (Gmail & Gdrive), and tools for lead management and sales tracking.
• Exceptional communication and client relationship management abilities.
• A keen interest in problem-solving and understanding complex issues.
• Proficiency in financial software and tools.
• Detail-oriented and client-focused individual.
• Enthusiastic and motivated to engage with others through questioning.
• Comfortable working independently and collaboratively within a team.
• Active listening skills and the ability to translate responses into actionable insights.
• Excellent time management and organizational skills.
