JOB OVERVIEW

We are looking for a highly skilled and experienced Virtual Assistant / Short Term Rental Property Manager / to assist the owner of the company with daily tasks. This is NOT a co-hosting position for someone managing multiple properties across different companies. This role is a personal assistant position that involves various operational, administrative, and property management responsibilities—including some aspects of co-hosting.

Experience in web design (GoDaddy, WordPress, Canva, Photoshop) is a plus.

Qualifications & Experience Required:
-Managing channel managers
-Guest communication & customer service
-Calendar management
-Pricing optimization
-Coordinating maintenance and scheduling contractors
-Scheduling and overseeing cleaners
-Setting up and integrating listings on Airbnb, VRBO, Google Vacation Rentals, etc.
-Setting up automated messaging
-Collection of security deposits
-Filing Airbnb reimbursement claims
-Canceling Airbnb bookings without penalties
-Handling Airbnb disputes and negative review removals
-Conducting price comparisons

Knowledge and experience in social media marketing, email marketing, and ad campaigns (Facebook, Instagram, Google Ads) is a plus.

Work Hours & Availability:
This position requires flexible availability, including occasional evenings and weekends as needed.
Work hours will be discussed and agreed upon with the owner.
The schedule may change based on business needs, and the candidate must be adaptable to these adjustments.

Required Skills & Attributes:
- Excellent communication skills – must be able to clearly and empathetically convey messages
- Strong problem-solving abilities – must be able to address guest and operational issues efficiently
- Organized & detail-oriented – able to handle multiple tasks and prioritize effectively
- Ability to work under pressure – perform consistently and meet deadlines with urgency
- Resourceful & proactive – take initiative and anticipate needs before tasks are assigned
- Luxury hospitality mindset – ensure high-quality service to guests and property owners
- Experience in home maintenance or property ownership is a plus

Key Responsibilities:
1. Guest Communication & Support:
Respond promptly to guest inquiries (within 5 minutes), assist with bookings, and provide essential information
Handle guest phone calls, onboard guests, and ensure rental agreements & payments are received
Serve as the point of contact during guest stays, addressing any concerns promptly
Communicate check-in procedures clearly and ensure a seamless arrival experience
Encourage guest reviews and monitor online feedback, responding professionally
2. Coordination & Property Management:
Schedule and coordinate cleaners, maintenance, and service providers
Ensure properties are guest-ready before check-in
Work with internal teams (accounting, IT, cleaning, etc.) to streamline operations
3. Review Monitoring:
Monitor guest reviews and address negative feedback
Implement improvements based on guest suggestions
4. Administrative Support:
Organize files, track bookings, and assist with check-in/out procedures
Maintain rental platform listings and ensure accuracy
Manage direct booking website updates and integrations
Assist in ongoing business tasks assigned by the owner
5. Claims & Invoicing:
File Airbnb AirCover and other insurance claims
Manage invoices, leases, and payment tracking
6. Client & Property Onboarding:
Assist with adding new properties to the company’s system
Research potential markets and reach out to property owners for management services
7. Homeowner Support:
Serve as a point of contact for homeowners, addressing inquiries and providing updates
8. Social Media & Marketing:
Schedule & publish social media content
Research and create local area guides
Set up ad campaigns and track results
Design and maintain marketing materials

What You’ll Need:
- Fully remote position – must have a reliable laptop, high-speed internet, and a productive workspace
- This job must be your ONLY job.
- Fluent in English (written & spoken)
- Strong organizational and multitasking skills
- Experience in customer service or hospitality preferred
- Discretion and professionalism in handling sensitive information
- Proactive, problem-solving mindset
