JOB OVERVIEW

About the Role
We are seeking a highly organized and detail-oriented Senior Executive Assistant to provide high-level administrative and executive support to senior leadership across multiple businesses. The ideal candidate will be responsible for managing schedules, handling communications, preparing reports, and ensuring smooth business operations across different time zones.

Key Responsibilities

Executive & Administrative Support
?? Manage executive schedules, appointments, and travel arrangements to ensure efficient time management.
?? Act as a gatekeeper, handling emails, calls, and correspondence on behalf of the executive.
?? Prepare and edit reports, presentations, business documents, and meeting agendas.
?? Maintain and organize files, contracts, and business documents using cloud-based tools like Dropbox and SharePoint.
?? Coordinate meetings across different time zones, including agenda preparation and follow-ups.
?? Handle confidential information with the highest level of professionalism and discretion.

Business Coordination & Support
?? Assist in managing business communications and client relationships, acting as the primary point of contact.
?? Support financial processes, including basic invoicing, expense tracking, and payroll coordination with the accounting team.
?? Assist in drafting proposals, contracts, and agreements, ensuring they align with business objectives.
?? Conduct market research to identify trends and business opportunities.

Marketing & Outreach
?? Assist in marketing efforts, including email campaigns and content distribution.
?? Manage lead generation efforts by identifying potential business partners and clients.

Qualifications & Requirements
? Female candidate based in Metro Manila (due to onsite responsibilities).
? 4-5 years of experience in a Senior Executive Assistant, Personal Assistant, or similar role.
? Excellent English communication skills (both written and verbal).
? Proficiency in document management tools (Dropbox, SharePoint).
? Strong organizational skills, attention to detail, and ability to multitask.
? High level of discretion, professionalism, and confidentiality in handling sensitive information.
? Experience in financial processes such as invoicing, payroll coordination, and expense tracking.
