Holiner Holdings is a commercial real estate firm specializing in tenant representation and leasing. We are looking for a highly skilled, motivated, and detail-oriented Senior Virtual Assistant with a strong background in commercial real estate. This role is ideal for someone with prior experience in real estate transactions, contracts, and client outreach who is eager to take ownership of critical business operations and grow within the company.

Key Responsibilities

1. Client Outreach & Business Development
Conduct targeted outreach to potential tenants and clients via email, LinkedIn, and calls.
Research and identify new business opportunities in commercial real estate.
Maintain and update a prospect database with key follow-ups.
Draft personalized outreach emails and proposals for potential clients.

2. Contracts & Documentation Management
Review Letters of Intent (LOIs), commission agreements, and lease contracts for accuracy and completeness.
Identify key terms in contracts and flag essential points for review.
Assist in negotiating deal structures and keeping track of agreement timelines.
Ensure all executed contracts and documents are correctly filed and organized.

3. Executive-Level Support
Listen to calls and meetings, take detailed notes, and summarize key action points.
Respond to emails on behalf of the CEO, ensuring professionalism and efficiency.
Assist in scheduling high-priority meetings with clients and partners.
Follow up on pending deals and ensure the next steps are taken.

4. Market Research & Property Analysis
Research market trends, demographics, and competitor analysis.
Prepare property reports, lease comps, and potential site recommendations for clients.
Assist in identifying upcoming leasing opportunities based on tenant demand.

5. CRM & Data Management
Maintain and update the company’s CRM system with leads, follow-ups, and deal progress.
Organize client information, property listings, and transaction details.
Track deal pipelines and ensure timely follow-ups on outstanding tasks.

REQUIRED QUALIFICATIONS
Minimum 2-5 years of experience in commercial real estate, property management, or related field.
Strong understanding of LOIs, commission agreements, leases, and deal structures.
Fluent in English (both written and verbal); ability to draft professional emails and reports.
Strong research skills with experience in market analysis and prospecting.
High attention to detail and ability to manage contracts and legal documents.
Ability to work independently, think critically, and anticipate needs.
Experience with CRM systems (we use Monday.com but are open to other suggestions).
Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook, OneDrive).
Strong organizational skills with the ability to manage multiple priorities with urgency.

PREFERRED QUALIFICATIONS
Prior experience in tenant representation or leasing.
Familiarity with CoStar, LoopNet, Placer.ai, or other real estate tools.
Experience with LinkedIn outreach and lead generation strategies.
Background in executive assistance or working with high-level professionals.
