Job Title: Operations Manager
Location: Remote (Central U.S. Time Zone, 8 AM – 5 PM CST, Monday – Friday)
Reports To: Doctor & Executive Team

Job Summary:
We are seeking a highly organized, proactive, and detail-oriented Operations Manager to oversee the entire organization’s day-to-day operations. This role is pivotal in ensuring seamless administrative, financial, and operational functions in a fast-paced primary care physician’s office.

The Operations Manager will act as an assistant executive assistant to the doctor and support the operations manager in executing critical workflows, including payroll processing, insurance communications, compliance oversight, and general management duties. The ideal candidate must be able to multitask across various responsibilities, maintain high professionalism, and communicate fluently in English.

Key Responsibilities:
1. Operational Oversight & Office Administration
Ensure smooth daily operations of the practice, managing administrative functions efficiently.
Serve as a key liaison between the doctor, staff, patients, and external partners.
Monitor workflows and procedures, ensuring completion of all operational tasks.
Manage scheduling, office logistics, and front desk coordination.
2. Payroll & Financial Management
Oversee biweekly payroll processing and ensure accurate and timely compensation.
Track and manage financial transactions, invoices, and office expenses.
Coordinate billing and collections with insurance companies and ensure compliance.
3. Insurance & Compliance Management
Communicate with insurance companies regarding billing, claims, and approvals.
Ensure HIPAA compliance and that all patient records are handled securely.
Maintain up-to-date documentation and regulatory compliance across all functions.
4. Communication & Staff Coordination
Act as the point of contact for internal and external stakeholders.
Support staff hiring, onboarding, and training as needed.
Assist the doctor with scheduling meetings, coordinating patient follow-ups, and managing professional correspondences.
Maintain excellent communication with patients regarding administrative matters.
5. Proactive Problem Solving & Process Improvement
Identify inefficiencies and propose solutions for improving office workflows.
Implement and manage technology tools for automation and efficiency.
Regularly report key performance metrics and identify opportunities for business optimization.
6. General Support & Additional Responsibilities
Take ownership of various office-related projects and administrative tasks as needed.
Be flexible in performing additional tasks to support the team and ensure the office runs smoothly.

Qualifications & Requirements:
? Proven experience in office management, healthcare administration, or operations management.
? Strong English communication skills (both written and verbal).
? Ability to manage multiple responsibilities efficiently and proactively.
? Experience with payroll processing, financial tracking, and insurance communication.
? Familiarity with HIPAA regulations and healthcare compliance standards.
? Strong problem-solving skills and ability to work under pressure.
? Tech-savvy with experience using EHR/EMR systems, scheduling tools, and office software.
? Highly organized with strong attention to detail and process-driven mindset.
? Ability to work Monday – Friday, 8 AM – 5 PM CST (Central U.S. Time Zone).
