Position Summary:
The Real Estate Transaction Coordinator & Personal Assistant plays a crucial role in ensuring smooth real estate transactions and supporting the lead agent in daily operations. This position requires excellent organizational skills, attention to detail, and a proactive mindset. The ideal candidate will be responsible for managing contract-to-close processes, handling administrative tasks, communicating with clients, and ensuring the agent operates efficiently.
Primary Responsibilities:
Transaction Coordination (Contract-to-Close Management)
-Oversee the entire transaction process from contract to closing, ensuring all deadlines and contingencies are met.
-Review and organize contracts, addendums, and disclosures for accuracy and compliance.
-Monitor critical deadlines (e.g., inspections, appraisals, financing, contingencies) and ensure all parties stay on schedule.
-Communicate with lenders, title companies, and attorneys to facilitate a seamless closing process.
-Coordinate home inspections, appraisals, and repair negotiations between buyers, sellers, and agents.
-Ensure earnest money deposits and closing funds are handled correctly.
-Update and maintain transaction management software (Dotloop, BackAgent).
-Assist in preparing closing documents and ensure a smooth handoff to the agent for review and final execution.
-Serve as the main point of contact for clients during the transaction process, providing updates and answering questions.
Marketing & Listing Coordination
-Prepare listing agreements, MLS input, and property disclosures.
-Coordinate professional photography, videography, and staging appointments.
-Create and manage listing marketing materials, including flyers, brochures, and online ads.
- Ensure listings are updated MLS
-Track marketing performance and assist in improving listing exposure.
-Assist in preparing presentations, reports, and spreadsheets.
-Help manage expenses, invoices, and commission tracking.
Qualifications & Skills:
- Real estate experience preferred (especially in transaction coordination).
-Strong understanding of real estate contracts, terminology, and timelines.
- Highly organized, detail-oriented, and able to multitask.
-Tech-savvy and comfortable using CRM, MLS, Google Suite, and transaction management platforms.
-Experience using Canva, or other design tools for marketing materials.
