Amazon Bookkeeper & Virtual Assistant

We are a fast-growing eCommerce company based in Canada, specializing in premium, sustainable baby nursery products. Our products are sold primarily on Amazon marketplaces (US, Canada, UK, Germany, and Europe), with additional sales on Walmart and Shopify.

We are looking for a highly organized and detail-oriented Bookkeeper & Virtual Assistant to join our team. This is a full-time (40 hours per week) remote position that involves maintaining accurate financial records, managing Amazon-related tasks, assisting with customer service, and handling basic social media management. Our goal is to establish a long-term working relationship with the right candidate.

RESPONSIBILITIES
Bookkeeping & Financial Management (Primary Role)
1. Revenue & Sales Tracking
Recording sales from different Amazon marketplaces, Walmart and Shopify.
Reconciling Amazon disbursements with actual sales.
Accounting for refunds, returns, and chargebacks.

2. Expense Management Tracking Amazon fees (FBA fees, referral fees, storage fees, etc.).
Recording advertising (PPC) costs and other marketing expenses.
Managing supplier payments and inventory purchases.

3. Inventory Accounting
Recording cost of goods sold (COGS) accurately.
Tracking landed costs (shipping, duties, and storage) for proper cost allocation.
Ensuring accurate stock valuation.

4. Bank & Payment Reconciliation
Matching Amazon payouts with bank deposits.
Reconciling PayPal, credit card transactions, & other payment gateways (Shopify, Walmart, etc.).
Handling currency conversions for different marketplaces.

5. Tax Compliance
Keeping records of sales tax and VAT for different countries.
Ensuring compliance with tax regulations in each market.
Assisting in preparing reports for accountants/tax filings.

6. Profit & Loss Reporting
Generating monthly P&L statements and financial summaries.
Analyzing profitability by product, market, and category.
Identifying areas to reduce costs and improve margins.

7. Accounts Payable & Receivable
Tracking supplier invoices and payment schedules.
Following up on reimbursements from Amazon (e.g., lost inventory, overcharged fees).

8. Financial Forecasting & Budgeting
Assisting in cash flow management and forecasting.
Budgeting for expenses such as ads, new inventory, and operational costs.

Amazon & eCommerce Tasks (Secondary Role)
· Assist with basic Amazon account management tasks (updating listings, checking performance metrics, monitoring).
· Handle customer service inquiries via Amazon, Walmart, and Shopify.
· Perform data entry, admin tasks, and basic reporting as needed.
· Assist with social media management (scheduling posts, responding to messages).

Social Media Management (Light Involvement)
· Schedule and post content on Instagram, Facebook, and TikTok
· Engage with messages & comments to assist with basic customer inquiries.
· Coordinate content uploads, ensuring brand consistency across platforms.

(Note: This role does not require full-scale social media strategy or content creation—just posting and engagement.)

Qualifications
· Amazon Bookkeeping experience with QuickBooks Online
· Familiarity with Amazon Seller Central and Amazon financial reports.
· Experience with A2X software, with the ability to calculate COGS manually as well when needed.
· Ability to develop and maintain a comprehensive product cost catalog, factoring in price changes, shipping costs, and other related expenses.
· Strong knowledge of reconciling payouts, tracking COGS, and P&L reports.
· Strong attention to detail and ability to analyze financial data.
· Experience with customer service and administrative tasks is a plus.
· Excellent English communication skills (written & spoken).
· Ability to work independently and meet deadlines.
· Bonus: Familiarity with social media management
