JOB OVERVIEW

We are boutique tour operator based in Australia that operates luxury driving journeys in Europe and America.

We are seeking a passionate people and service oriented person to join our dynamic international team in the Guest Services team, providing administrative support to our Guest Experience Manager. In this role you will work with the team to assist with looking after confirmed guests to finalise their documentation.

The ideal candidate will have extensive experience as an administrative assistant providing support to the team. Excellent communication skills, both written and spoken, is a must. If you are a detail oriented, organised and efficient problem solver who excels at multitasking, then we are looking for you.

Key Responsibilities

Supporting our Guest Services team
Creating contracts and other administrative documentation for guests
Creating invoices and reconciling payments in Xero
Collating and updating important information for our guest database
Working across multiple software programs including G-Suite (Gmail, Docs, Sheets), Active Campaign CRM, Xero, Stripe, and other online software programs
General wider business administration tasks

What We Are Looking For

Fluent in English (written and spoken)
Experience in administration
Excellent customer service
A high emotional intelligence, as well as excellent interpersonal and communication skills (written and spoken)
Impeccable attention to detail
Ability to work independently and to collaborate with a wider team
Capabilities to develop, evolve and adapt systems and processes within a business
Proficiency in core software (Microsoft Office/Google Workspace), as well as being tech-savvy and adaptable to software that may be new to you (Active Campaign, PandaDoc, Xero, Trello and more)
Experience with bookkeeping or accounting would be highly regarded, as would travel/luxury services or products experience
