We are looking for a highly organized and research-savvy individual to source speaking opportunities for the keynote speakers on our roster. This role requires strong research skills, database management, and event coordination experience. You will be responsible for identifying and tracking conferences, expos, and association events where our speakers would be a great fit, compiling data, and handling the application process.
This role is perfect for someone who understands event cycles, industry trends, and speaker selection processes while being detail-oriented and proactive in outreach.
Key Responsibilities:
Event Research & Lead Sourcing
• Research conferences, expos, and association events occurring between March 1, 2025 – March 1, 2026 (always working one year out from current date)
• Identify relevant industry niches, locations, audience size, and event rotation (annual, biannual, quarterly, etc.)
• Determine whether events are nationwide or regional and track location changes
• Find and record the event website, speaker application page, deadlines, and any requirements
• Identify past speakers, conference themes, and speaking fee structures (paid, unpaid, travel covered, sponsorship required, etc.)
• Track additional opportunities, such as panel discussions, workshop slots, and networking events
Database Management & Organization
• Compile event data into an organized, filterable database on
• Track application status, deadlines, follow-up dates, and event organizer contacts
• Keep notes on which speakers would be a good fit for each event
Application & Outreach
• Fill out applications for speaker slots using speaker-provided bios, topics, and materials
• Tailor submissions to align with the event’s theme and audience when necessary
• Manage follow-ups with event organizers to check application status and build relationships
• Identify potential sponsorship or partnership opportunities for speaker placement
Other Responsibilities
• Stay updated on industry trends and upcoming event announcements
• Explore LinkedIn, speaker bureaus, and association networks for hidden speaking opportunities
• Ensure smooth coordination between speakers and event organizers
Ideal Candidate:
? Experience in event research, speaker coordination, or business development
? Understanding of conferences, expos, and industry associations
? Highly organized and skilled in building databases
? Strong attention to detail—tracking deadlines, follow-ups, and application requirements
? Excellent communication skills—comfortable reaching out to event organizers when needed
? Ability to work independently and proactively without constant supervision
? Familiarity with LinkedIn research, event directories, and speaker submission processes
? Experience working with keynote speakers, thought leaders, or industry experts (a plus but not required)
