JOB OVERVIEW

We are seeking a detail-oriented and proactive Virtual Assistant to support our sales and operations teams. The ideal candidate will have experience in outreach, appointment setting, CRM management, and administrative tasks. This position would be part-time with the possibility of going full-time with occasional full days to cover for our current Project Manager on their days off.

Responsibilities:
1. Instagram Outreach & Lead Engagement
Identify and engage with potential clients based on target audience criteria.
Follow, like, and comment on posts to build rapport.
Send direct messages to prospects following engagement strategy.
Track and report outreach metrics (responses, conversions, follow-ups).
Maintain a list of engaged users for future follow-ups.

2. Appointment Setting & Follow-Ups
Conduct cold calls to introduce Flylisted’s services to prospects.
Send follow-up text messages and direct messages to nurture leads.
Schedule appointments based on availability and client preferences.
Confirm and remind prospects of upcoming appointments.
Maintain a database of scheduled, pending, and completed appointments.
Follow up on appointments to ensure client satisfaction and retention.

3. Re-engagement of Aging Prospects
Identify and reach out to prospects who haven’t engaged in over 60 days.
Craft personalized messages to re-engage potential clients.
Follow up periodically and track interactions.
Update CRM with prospect status and provide reports on re-engagement success.

4. CRM & Database Management (HubSpot & Portal)
Clean and organize HubSpot contacts by categorizing them appropriately (Realtors, CPD, Admin, etc.).
Assign contacts to the respective team members.
Remove spam or invalid contacts to maintain a high-quality database.
Update contact records based on review interactions and feedback.
Ensure the CRM remains accurate and actionable for seamless communication and reporting.

5. Administrative Support
Assist in sending referral and review request text messages to clients.
Maintain and update the master spreadsheet with Nicole
Clean and merge contacts in the company’s internal portal.
Create and organize brokerage profiles within the portal.
Cover for Nicole on days she is off. You two would never take the same days off. (QC/download photos, edit floor plans and Matterport spaces, Single listing websites, submit virtual staging requests, communicate with video editors, etc.)

Requirements:
Prior experience as a virtual assistant, sales support, or in real estate marketing is a plus.
Strong organizational skills with attention to detail.
Excellent written and verbal communication skills.
Familiarity with social media outreach, particularly Instagram.
Proficiency in CRM tools (HubSpot preferred) and spreadsheet management.
Ability to work independently and meet deadlines.
Experience in cold calling and appointment setting is a plus.
