JOB OVERVIEW

Please note pre requisites 3-5 years experience working within Australia/New Zealand solar industry, Specifically logistic coordination of solar projects and Distributed Generation applications is essential.
- You will be dealing directly with suppliers and installers so a high level of English is required.
- You will be responsible for ensuring all stock is ordered and onsite on time and resolving stock supply issues


The Assistant Project Coordinator is responsible for a broad range of tasks, including but not limited to:
- supporting the delivery of ZEN’s projects from sale to installation and inspection
- submitting distributed generation and metering swap applications
- coordinating and making sure systems are approved for inspection
- problem solving and resolving any system inspection / approval issues
- ordering and managing stock levels for both projects and warranty / support cases

Key Responsibilities

Installation Support:
- Distributed generation and metering swap applications
- Work with ZEN’s Project Coordinator with the overview of planned and scheduled projects to ensure the timely delivery of information and project execution
- Ongoing review of the list of Company projects and work individually and with the team, suppliers, installers and inspectors to be able to close completed projects as quickly as possible after installation
- Collect and compile all completed project record packs, including photos, serial numbers, COC’s, ROI’s and other project documentation from installation partners. Ensure these are completed, ready for processing by the Company
- Scheduling and coordination of system inspections, minimising any time lag after project completion.
- Troubleshoot any failed inspections, including discussing the reasons for failure with the inspector. Work with the inspector and installer for the best rectification approach. E.g. return to site or photo clarification

Stock Coordination and Control:
- Enter item receipt records in Netsuite when stock arrives, including allocation for freight in landed costs using ZEN’s volumetric freight calculation spreadsheets.
- Stock allocation and commitment to projects from ZEN’s stock, including both existing and additional ordering
- Coordinate and organise the dispatch of stock to installation partners, inline with the Company’s policies and time frames, to meet all project installation dates
- Tracking of shipments and receipts, with confirmation of each shipment needed from all installation partners
- Completion of Work in Progress monthly reports by the end of the first week of each month. This is to include all stock fulfilled or to be fulfilled to projects based on the physical project stage at the end of the prior month.
