AP/AR Specialist with Netsuite experience

Job Summary
We seek an experienced Accounts Receivable and Accounts Payable Manager to join our growing e-commerce company. The ideal candidate will have extensive experience in NetSuite, with a strong focus on managing accounts receivable functions, especially for large marketplaces like Amazon, and supporting all accounts payable operations. This role will ensure efficient cash flow management, accurate financial reporting, and compliance with company policies while driving process improvements.

Key Responsibilities
Accounts Receivable (AR)
Manage full-cycle accounts receivable, ensuring timely and accurate processing of invoices and cash applications in NetSuite.
Set and monitor credit limits for customers, analyze credit risk, and manage credit approvals.
Ensure customer payments are accurately posted and allocated in NetSuite, resolving discrepancies in a timely manner.
Work closely with the sales and operations teams to monitor and reduce DSO (Days Sales Outstanding).
Prepare and distribute AR aging reports, identifying overdue accounts and taking corrective action for collections.

Oversee and support chargeback and reconciliation processes for Amazon and other marketplace accounts.
Monitor and manage Amazon settlements, credits, and receivable reconciliations in NetSuite.
Coordinate with internal and external auditors for AR-related reporting and compliance.
Maintain customer records and payment terms within NetSuite, ensuring compliance with financial policies.
Accounts Payable (AP)

Oversee the full-cycle accounts payable process, including processing vendor invoices, payment approvals, and reconciliations in NetSuite.
Ensure compliance with vendor agreements, payment terms, and tax requirements.
Review and approve payment runs, ensuring proper cash management.
Reconcile vendor accounts and resolve discrepancies in collaboration with purchasing and operations teams.
Manage and report on AP aging and cash disbursement forecasts.
Collaborate with vendors and internal stakeholders to ensure timely and accurate payments.
Generalist and E-Commerce Focused Responsibilities
Collaborate with e-commerce platforms (Amazon, Shopify, etc.) to ensure seamless integration and reconciliation of payments and receivables.

Assist with monthly, quarterly, and annual closing processes to ensure accurate financial reporting.
Ensure compliance with sales tax, VAT, and other regulatory requirements for online sales.
Develop and implement process improvements for AR and AP workflows, leveraging automation tools within NetSuite.
Support cash flow forecasting and budgeting processes.
Serve as the NetSuite subject matter expert, providing training and support to the accounting team.

Qualifications
Bachelor’s degree in Accounting, Finance, or related field.
Minimum of 5+ years of experience in AR/AP management, preferably in an e-commerce environment.
Proficiency in NetSuite is required.
Experience with Amazon, Shopify, and other e-commerce marketplaces is highly preferred.
Strong knowledge of GAAP, internal controls, and financial reporting.
Proven experience with credit management and collections.
Advanced proficiency in Excel (pivot tables, v-lookups, and financial modeling).
Excellent analytical, organizational, and problem-solving skills.
Strong communication and interpersonal skills, with the ability to collaborate cross-functionally.
Preferred Qualifications
CPA, CMA, or other relevant certification.
Experience with payment reconciliation automation tools.
Knowledge of sales tax compliance across multiple states.
